MIGRATION OVERVIEW

Why teams migrate from SYSPRO to SAP Business One

The core problem
Migrating from SYSPRO to SAP Business One requires a fully custom data migration with no vendor-provided migration path between the two platforms. SYSPRO stores data in Microsoft SQL Server, with one database per company and a separate system-wide database, while SAP Business One holds customers, vendors and leads in a single Business Partner table differentiated by a type field. SYSPRO's split header/detail order tables and its plus-table custom fields need field-by-field redesign rather than table-to-table copying. Every record is extracted via direct SQL (or OData where SQL is not possible), transformed to match SAP Business One's object structures, and loaded through the Service Layer REST API.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a SYSPRO to SAP Business One migration.

Most Critical

Single Business Partner Model

SYSPRO keeps customers (ArCustomer) and suppliers (ApSupplier) in separate tables, while SAP Business One holds both in one Business Partner table differentiated by a CardType field, so a party that exists as both needs deduplication and key planning.

Blocks all downstream imports if mapped wrong

Custom Field Schema Redesign

SYSPRO stores custom form fields in separate plus tables linked to parent records, whereas SAP Business One needs each one created as a user-defined field on the target object before any data load can begin.

Nested Document Structure Mismatch

SYSPRO splits sales and purchase order data across separate header and detail tables (e.g., SorMaster/SorDetail), while the SAP Business One Service Layer takes each order as one document with embedded DocumentLines, so rows must be re-nested during transformation.

Tax Code Remapping

SYSPRO tax codes do not carry over one-to-one, so every tax code used on customers, suppliers and items must be mapped to a tax code set up in SAP Business One before any document is loaded.

Lot and Serial Traceability Mapping

SYSPRO's lot and serial data (LotDetail, InvSerialHead) must be mapped to SAP Business One's batch and serial number master data, and lot transactions already purged by SYSPRO's Lot Purge and Archive program sit outside the live tables and need separate extraction.

BOM and Routing Structure Differences

SYSPRO's BomOperations and BomWorkCentre tables hold routing steps and work centres, and manufacturers must decide how much of that detail SAP Business One's product trees and production orders will carry.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from SYSPRO to SAP Business One and built proven solutions for each one.

High complexity
  • Customers and Suppliers
Merging SYSPRO's separate ArCustomer and ApSupplier tables into SAP Business One's single Business Partner table risks duplicate CardCode collisions where the same code or party exists in both source tables.
    Solved
  • Invoices (AR and AP)
Tax codes and posting rules differ between SYSPRO's ArInvoice/ApInvoice tables and SAP Business One's A/R and A/P invoices, so open invoices need tax mapping and reconciliation against the GL control accounts.
    Solved
  • Custom Fields (Plus Tables)
Every SYSPRO plus-table custom field must be created as a user-defined field in SAP Business One before data load, so field definitions need to be settled during sample migrations, not in production.
    Solved
  • Lot and Batch Traceability
SYSPRO's Lot Purge and Archive program moves lot transactions to archive files outside the live tables, so complete traceability history needs separate archive extraction before migration.
    Solved
  • Chart of Accounts and Journal Entries
SYSPRO's GenMaster and GenTransaction GL data must be remapped to SAP Business One's G/L accounts and journal entries, which needs a chart of accounts design agreed with finance before any balances are loaded.
    Solved
Custom engineering
  • Sales Orders
Moving from SYSPRO's SorMaster/SorDetail split to SAP's nested DocumentLines format requires careful line-to-header referencing to avoid mismatched or orphaned order lines.
    Handled
  • Inventory Items
SYSPRO's InvMaster and InvWarehouse data maps to SAP's item and item-warehouse tables, and serial and batch management settings must be correct on each item before any inventory is loaded.
    Handled
  • Serial Numbers
SYSPRO's InvSerialHead records must be migrated to SAP Business One's serial number master data and linked to the right items.
    Handled
  • Bills of Materials and Production Orders
SYSPRO's BomOperations and BomWorkCentre routing data and WipMaster jobs must be mapped to SAP Business One's product trees and production orders, and routing detail that does not fit needs a keep-or-archive decision.
    Handled
  • Currency and Exchange Rates
SYSPRO's TblCurrency and TblCurrDatedRates must be mapped to SAP Business One's currency and exchange rate tables so historical rates reconcile against migrated documents.

What does an Engineer-led migration mean anyway?

Speed & Accuracy: Our Blended Method

We blend automation (smart scripts, bulk APIs) with human expertise for speed without risk. Our engineers manually check every mapping, validation, and exception.

You get:

  1. Speed of automation for bulk record migration
  2. Precision of engineers verifying integrity and business logic
  3. Pilot migrations and sandbox testing to catch issues early
  4. Real-time validation reports and rollback readiness
Result: 50x faster migrations than manual imports — with near-zero error rates.

Handling the Tricky Tech and API Details

The SYSPRO and SAP Business One APIs each behave differently, which is where our engineers shine. We build custom logic to handle the data quirks where generic tools typically break.

We handcraft API logic for:

  1. Field mapping and transformation
  2. Pagination, rate-limit handling, and throttling
  3. Preserving GL history, journal entries, and transaction records
  4. Syncing custom fields, modules, and chart of accounts without breaking structure
Our scripts: Natively retry failed calls, re-queue large attachments, and ensure data parity.

No Guesswork

We don't just promise smooth migrations—we measure and prove them. Every client receives a Migration Validation Report with all metrics.

Typical results across projects:

  1. 100% record-count parity between your SYSPRO data and SAP Business One
  2. Zero downtime during staged cutovers
  3. 99.9% attachment integrity (verified via checksum)
  4. Full automation and preservation of all business rules
Our standard: Includes full audit-trail and reconciliation preservation and 30 days of engineer-assigned support post go-live.

We Adapt to Your Setup (Not the Other Way Around)

No two teams configure SYSPRO or SAP Business One exactly the same way—with unique modules and data. We customize every migration script to fit your exact workflow, modules, and chart of accounts.

Our engineers adapt for:

  1. Custom fields, modules, and workflows
  2. Multi-entity or multi-company setups
  3. Historical imports and partial (date-based) migrations
  4. Integration re-mapping for banking, payroll, or reporting tools
The promise: If your data doesn't fit a standard template, we build one just for you.

SYSPRO → SAP Business One

6 questions
How do Cash Book entries move from SYSPRO to SAP Business One?
SYSPRO Cash Book entries do not have a single equivalent object in SAP Business One, so they are split by direction: credits become Incoming Payments and debits become Outgoing Payments. The mapping logic reads the transaction sign during extraction and routes each record accordingly. You should review the split results during validation, because any entries with ambiguous direction flags will need manual classification before the import batch is finalised.
What happens to SYSPRO Inventory Adjustments and GRNs in SAP Business One?
Neither entity maps directly: positive inventory adjustments are written as Inventory General Entries (Gen Entries) and negative adjustments as Inventory General Exits, while Goods Received Notes are imported as inventory receipts via the same Gen Entry object and linked back to their Purchase Orders. Because SAP Business One's Service Layer limits batch sizes, large volumes of these workaround records require careful sequential batching. Any GRN that references a Purchase Order not yet present in SAP Business One will fail referential integrity checks, so Purchase Orders must land first.
Do SYSPRO custom form fields (plus tables) carry over to SAP Business One?
SYSPRO stores custom form data in separate plus tables named with a '+' suffix — for example, [ArCustomer+] alongside [ArCustomer]. These tables require a separate extraction pass because they are not returned by standard business object queries. On the SAP Business One side, every target User Defined Field (UDF) must be manually pre-created in the system before the import runs; if a UDF does not exist when the record arrives via the Service Layer, that field's data is silently dropped.
What API prerequisites does the SYSPRO side need before migration can start?
We usually read SYSPRO directly from its SQL Server company database. That reaches every table, including the custom form plus tables such as [ArCustomer+]. Where direct SQL access is not possible, we use SYSPRO's read-only OData service, which SYSPRO describes as the only access mechanism in its Syspro Cloud ERP environment. Each SYSPRO company has its own database, so multi-company sites are extracted company by company, and we confirm the access route on the scoping call.
What has to be set up manually in SAP Business One before backdated transactions can be imported?
SAP Business One will reject any journal entry, invoice, or financial document whose date falls in a closed posting period. Before backdated GL Journal Entries, AR Invoices, or AP Invoices are imported, an SAP Business One administrator must open the relevant historical posting periods in the Posting Periods configuration — this is a step your internal team or SAP partner performs, not part of the data migration ClonePartner carries out. Additionally, original document numbers from SYSPRO are not preserved as the SAP Business One system number; they are stored only in the NumAtCard field, so any internal cross-references or reports relying on original document numbers will need to be updated to use that field.
Will SAP Business One approval procedures and workflow rules migrate from SYSPRO?
No. SAP Business One approval procedures and workflow configurations are not exposed through the Service Layer API and cannot be written programmatically as part of a data migration. These must be recreated manually inside SAP Business One by your implementation team after the data migration is complete. ClonePartner moves data records — master data, transactions, and documents — but the reconfiguration of system-level business logic is outside the scope of what we do.

Before you start

2 questions
Do I need professional help for this migration?
While simple migrations can sometimes be handled in-house, professional help ensures zero data loss, proper field mapping, and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.

Data & mapping

2 questions
Will original document numbers, created dates and user references be preserved?
Yes — we carry them across. Where SAP Business One cannot store one of them natively, it is kept in a custom field or reference on the migrated record, so every record can be traced back to SYSPRO.
If the new system can't natively support an old record type, what are my options?
We handle it case by case: map it to the closest native object, create a custom field or object, fold it into the parent record as text or an internal note, attach it as a file, or keep it in a read-only archive. You see how your chosen approach looks in a sample migration before we run the full set.

Timeline & downtime

3 questions
How long does the SYSPRO to SAP Business One migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will my team lose access to SYSPRO during the migration?
No. SYSPRO stays fully operational while we run the bulk load in the background. The only pause is a short freeze before go-live, so the final delta of changed records can be applied and reconciled.
Will there be downtime when migrating from SYSPRO to SAP Business One?
Very little. The bulk load runs in the days before go-live while SYSPRO stays live. We go live on a Monday, never a Friday: SYSPRO freezes before the working day starts, and the final delta covers changed records only, which typically takes about 30 minutes.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes — all migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee based on the scope estimate you give us — small variances in actual volume (a bit more or less) don't change the price.

After go-live

5 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count parity, attachment integrity verification via checksum, and full audit logs. We also offer unlimited sample migrations so you can verify before committing.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support. During this period, we will assist with everything needed to ensure your transition is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each SYSPRO record — customers, suppliers, items, orders and invoices — to its new ID in SAP Business One. This ensures full traceability and simplifies post-migration verification.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Platform-level behavior — posting setup, approval workflows, and similar configuration — is handled by SAP Business One's own support or your implementation partner.
Will we get a report showing exactly what migrated versus what didn't?
Yes. You get a final reconciliation report comparing source and target counts for every object.
