MIGRATION OVERVIEW

Why teams migrate from SYSPRO to Sage X3

The core problem
Migrating from SYSPRO to Sage X3 has no vendor-provided path. Sage's product migration paths into X3 cover Sage 500 and Sage 300, so every SYSPRO record needs its own extraction, transformation, and load through X3 import templates or web services. SYSPRO 8 stores data in module-prefixed SQL Server tables, one database per company (for example ArCustomer, InvMaster, SorMaster). Sage X3 holds customers and suppliers as roles of one business partner (BPARTNER, BPCUSTOMER) and splits products across ITMMASTER, ITMSALES and ITMFACILIT. X3 also organises data by company and site, and every operating action happens within a site. These differences need transformation logic before any data can be loaded, and loads must run parent records before dependent records.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a SYSPRO to Sage X3 migration.

Most Critical

Business Partner Mapping

SYSPRO keeps customers in ArCustomer and suppliers in ApSupplier. In X3 a company that is both a customer and a supplier has a single business partner record with two roles, so matching companies across the two SYSPRO tables is a design decision to make before loading.

Blocks all downstream imports if mapped wrong

Company and Site Assignment

In Sage X3, all operating actions are performed within a site, and a site must exist within a company. SYSPRO separates companies by database, so every transformed record needs the right X3 company and site codes before import.

GL Fiscal Period Setup

An X3 journal entry date must belong to a fiscal year or period that is open for all ledger types. Historical GL loads need the target fiscal years and periods set up and opened in X3 first, in order and without skipping one.

Archived Data Reconstruction

SYSPRO's archiving copies purged sales orders, jobs and ECC bills of materials to XML files and does not archive custom forms, multimedia or notes. Lot Purge and Archive moves lot transactions to a separate archive file. Historical records must be rebuilt from both the live tables and the archives before extraction.

Product Master Splitting

SYSPRO's InvMaster item data maps to several X3 tables, including ITMMASTER (products), ITMSALES (products - sales) and ITMFACILIT (products-sites), so one source row becomes several target records.

Cloud Extraction Limits

In Syspro Cloud ERP, where direct SQL access is unavailable, the read-only OData service is the only route out. It returns at most 5,000 rows per call, so large tables such as SorDetail need many paginated calls.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from SYSPRO to Sage X3 and built proven solutions for each one.

High complexity
  • Customers
SYSPRO ArCustomer rows become X3 business partners with a customer role (BPARTNER, BPCUSTOMER, BPADDRESS). Customers that are also SYSPRO suppliers must be matched first, or X3 ends up with duplicate business partners.
    Solved
  • Suppliers
SYSPRO ApSupplier records map to X3 business partners with a supplier role. They need the same matching logic as customers and the same company and site codes.
    Solved
  • Inventory / Item Master
Each SYSPRO InvMaster item maps to several X3 tables (ITMMASTER, ITMSALES, ITMFACILIT), so one source row becomes several target records that must all match.
    Solved
  • Sales Orders
SYSPRO's SorMaster and SorDetail map to X3 SORDER (header), SORDERP (price) and SORDERQ (quantities). Archived orders sit in XML files and cannot be queried with SORQRY, so an extract built on business objects silently misses them.
    Solved
  • General Ledger Transactions
X3 posts a journal entry only if its date falls in a fiscal year or period that is open for all ledger types. Historical GL loads fail unless those periods are set up and opened first.
    Solved
  • Lot Traceability Records
SYSPRO's lot Purge and Archive keeps the lot header but deletes and archives lot transactions. Full lot history must be rebuilt from the live tables and the archive before extraction, or traceability breaks in X3.
    Solved
Custom engineering
  • Custom Fields
SYSPRO custom form data in plus tables (for example [ArCustomer+]) must be remapped to X3 custom fields whose names start with X_, Y_ or Z_. Each field needs a mapping decision and X3 setup before import templates can reference it.
    Handled
  • Chart of Accounts
SYSPRO's GenMaster accounts map to X3's GACCOUNT. Each X3 company carries a legislation code that sets country-specific rules, so the account design must be agreed before GL migration.
    Handled
  • Bill of Materials
ECC bills of materials may already sit in SYSPRO's XML archive. Routings from BomOperations need X3 work centers in place before they load.

What does an Engineer-led migration mean anyway?

Speed & Accuracy: Our Blended Method

We blend automation (smart scripts, bulk APIs) with human expertise for speed without risk. Our engineers manually check every mapping, validation, and exception.

You get:

  1. Speed of automation for bulk record migration
  2. Precision of engineers verifying integrity and business logic
  3. Pilot migrations and sandbox testing to catch issues early
  4. Real-time validation reports and rollback readiness
Result: 50x faster migrations than manual imports — with near-zero error rates.

Handling the Tricky Tech and API Details

The SYSPRO and Sage X3 APIs each behave differently, which is where our engineers shine. We build custom logic to handle the data quirks where generic tools typically break.

We handcraft API logic for:

  1. Field mapping and transformation
  2. Pagination, rate-limit handling, and throttling
  3. Preserving GL history, journal entries, and transaction records
  4. Syncing custom fields, modules, and chart of accounts without breaking structure
Our scripts: Natively retry failed calls, re-queue large attachments, and ensure data parity.

No Guesswork

We don't just promise smooth migrations—we measure and prove them. Every client receives a Migration Validation Report with all metrics.

Typical results across projects:

  1. 100% record-count parity between your SYSPRO data and Sage X3
  2. Zero downtime during staged cutovers
  3. 99.9% attachment integrity (verified via checksum)
  4. Full automation and preservation of all business rules
Our standard: Includes full audit-trail and reconciliation preservation and 30 days of engineer-assigned support post go-live.

We Adapt to Your Setup (Not the Other Way Around)

No two teams configure SYSPRO or Sage X3 exactly the same way—with unique modules and data. We customize every migration script to fit your exact workflow, modules, and chart of accounts.

Our engineers adapt for:

  1. Custom fields, modules, and workflows
  2. Multi-entity or multi-company setups
  3. Historical imports and partial (date-based) migrations
  4. Integration re-mapping for banking, payroll, or reporting tools
The promise: If your data doesn't fit a standard template, we build one just for you.

SYSPRO → Sage X3

6 questions
Do SYSPRO custom form fields migrate to Sage X3 automatically?
No. SYSPRO stores custom form fields in separate plus tables — for example, [ArCustomer+] alongside [ArCustomer] — which need their own extraction step. We extract these tables explicitly and map them to custom fields in Sage X3, but any corresponding custom objects or screens on the Sage X3 side must be built and published manually by your X3 administrator before we can write data into them; ClonePartner moves the data but does not build those custom endpoints.
Can posted SYSPRO GL journal entries and AR/AP invoices be moved into Sage X3?
Posted history is usually loaded into Sage X3 as opening balances or kept in an archive, rather than re-created as live transactions. For this class of data — GL Journal Entries to Journal Entries and AR/AP Invoices to Sales/Purchase Invoices — we use direct database insertion with post-validation on the Sage X3 side rather than API-layer writes, and your Sage X3 partner should confirm the target folder is in a state that permits this before migration begins.
What Sage X3 infrastructure needs to be in place before the migration can start?
The Sage X3 Syracuse web server must be installed and the REST API endpoints configured for the correct folder and legislation; without this, no API-based writes are possible. For high-volume data — such as large Bills of Materials, Work Orders, or Price Lists — we may also need classic ADONIX import templates to be set up in X3, because the API enforces payload size and rate limits that make pure REST loading impractical at scale. Confirm with your X3 implementer that the folder, legislation, and at least one credentialed API user are ready before your scoping call.
Does SYSPRO's OData Service work for extracting data if we're on SYSPRO Cloud ERP?
Yes, but with an important constraint: the SYSPRO OData Service is read-only and is the only programmatic access mechanism available in the Cloud ERP environment — SYSPRO names no other route there. This means extraction proceeds read-only through OData, and throughput is subject to its query limits and pagination, which we account for in our scoping estimate.
How does a multi-company SYSPRO setup affect the migration to Sage X3?
Each SYSPRO company has its own SQL Server database, so extraction must run company by company — a three-company SYSPRO environment means three separate extraction passes. On the Sage X3 side, multi-company and multi-legislation setups require separate API calls per folder, so we map each SYSPRO company database to its corresponding X3 folder and run the load sequences independently. Prerequisite records — GL Accounts, Warehouses, and Tax Codes — must exist in each target folder before dependent entities such as Sales Orders or Purchase Invoices can be written.
What has to be reconfigured manually in Sage X3 after ClonePartner loads the data?
Several settings govern how Sage X3 uses migrated data but are not themselves data records we migrate: assignment rules for Price Lists to customer groups, warehouse replenishment parameters, tax code legislation mappings, and any workflow or approval routing tied to Sales Orders or Purchase Orders. These are configuration items within Sage X3 that your implementation partner sets up as part of your broader X3 project — ClonePartner delivers the records into the correct entities, but the business rules that reference those records are part of the application setup, not the data migration.

Before you start

2 questions
Do I need professional help for this migration?
While simple migrations can sometimes be handled in-house, professional help ensures zero data loss, proper field mapping, and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.

Data & mapping

2 questions
Will original document numbers, created dates and user references be preserved?
Yes — we carry them across. Where Sage X3 cannot store one of them natively, it is kept in a custom field or reference on the migrated record, so every record can be traced back to SYSPRO.
If the new system can't natively support an old record type, what are my options?
We handle it case by case: map it to the closest native object, create a custom field or object, fold it into the parent record as text or an internal note, attach it as a file, or keep it in a read-only archive. You see how your chosen approach looks in a sample migration before we run the full set.

Timeline & downtime

3 questions
How long does the SYSPRO to Sage X3 migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will my team lose access to SYSPRO during the migration?
No. SYSPRO stays fully operational while we run the bulk load in the background. The only pause is a short freeze before go-live, so the final delta of changed records can be applied and reconciled.
Will there be downtime when migrating from SYSPRO to Sage X3?
Very little. The bulk load runs in the days before go-live while SYSPRO stays live. We go live on a Monday, never a Friday: SYSPRO freezes before the working day starts, and the final delta covers changed records only, which typically takes about 30 minutes.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes — all migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee based on the scope estimate you give us — small variances in actual volume (a bit more or less) don't change the price.

After go-live

5 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count parity, attachment integrity verification via checksum, and full audit logs. We also offer unlimited sample migrations so you can verify before committing.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support. During this period, we will assist with everything needed to ensure your transition is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each SYSPRO record — customers, suppliers, items, orders and invoices — to its new ID in Sage X3. This ensures full traceability and simplifies post-migration verification.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Platform-level behavior — posting setup, approval workflows, and similar configuration — is handled by Sage X3's own support or your implementation partner.
Will we get a report showing exactly what migrated versus what didn't?
Yes. You get a final reconciliation report comparing source and target counts for every object.
