MIGRATION OVERVIEW

Why teams migrate from SYSPRO to QuickBooks

The core problem
Migrating from SYSPRO to QuickBooks Online is not a like-for-like move. It takes data from a manufacturing ERP into accounting software. There is no native migration path. Data is extracted from SYSPRO's SQL Server company database, which SYSPRO's database guide says contains approximately 1000 tables, and loaded into QuickBooks Online through its REST API. QuickBooks Online has no item type for a bill of materials or a production job, and Intuit lists serial number and stock location tracking as not supported. So BOMs, WIP, lot and serial history are archived, not migrated. The custom work is field-level transformation, rate-limit handling, SyncToken handling, and deciding which SYSPRO data moves, which is archived and which is dropped.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a SYSPRO to QuickBooks migration.

Most Critical

No Native Migration Path

No vendor tool moves SYSPRO data into QuickBooks Online. Every migration extracts from SQL Server or OData and loads through the QuickBooks Online REST API.

Blocks all downstream imports if mapped wrong

Manufacturing Data Has No Target

SYSPRO BOM structures, WIP jobs, routings, lot detail and serial records have no matching entity in QuickBooks Online. They are archived, not migrated.

QuickBooks API Rate Limits

Intuit throttles at 500 requests per minute per realm ID and 40 batch requests per minute per realm ID and app. Load scripts need throttling and a 60-second wait after an HTTP 429.

Tax Setup Must Come First

US QuickBooks Online companies created after 10 November 2017 use automated sales tax. SYSPRO tax codes are mapped to QuickBooks tax codes before any taxable transaction is loaded.

Chart of Accounts Cap

Simple Start, Essentials and Plus allow a maximum of 250 accounts. A larger SYSPRO GL needs consolidation, or QuickBooks Online Advanced, which allows unlimited accounts.

Custom Field Limits

The legacy REST API provides up to three custom fields on certain transaction types. The Custom Fields GraphQL API allows more by edition. SYSPRO plus tables such as [ArCustomer+] often hold more fields than fit.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from SYSPRO to QuickBooks and built proven solutions for each one.

High complexity
  • Sales Orders (SorMaster / SorDetail)
Intuit's help says sales orders are available on QuickBooks Online Plus and Advanced. Confirm how they are exposed to the API before you map open SYSPRO orders, and plan to recreate order status by hand.
    Solved
  • WIP Jobs (WipMaster / WipJobAllMat / WipJobAllLab)
Material allocations, labour and job history have no matching entity in QuickBooks Online. Archive WIP history outside QuickBooks.
    Solved
  • BOM Structures (BomOperations / BomWorkCentre)
Routing steps and work centres have no matching entity in QuickBooks Online. Archive them for reference and audit.
    Solved
  • Lot and Serial Tracking (LotDetail / InvSerialHead)
Intuit lists serial number tracking as not supported in QuickBooks Online inventory. Archive lot and serial history so you can still look it up after go-live.
    Solved
Custom engineering
  • Inventory Items (InvMaster)
Stock codes map to QuickBooks Items. QuickBooks Online supports FIFO inventory accounting only, and Intuit lists serial number and stock location tracking as not supported.
    Handled
  • GL Accounts (GenMaster / GenTransaction)
Simple Start, Essentials and Plus allow a maximum of 250 accounts. Historical GL is usually loaded as summarised JournalEntry records.
    Handled
  • Customer Invoices (ArInvoice)
Invoices need their Customer and Items to exist first. The QuickBooks spreadsheet importer takes up to 100 invoices and 1,000 rows at a time, and cannot import invoices once sales tax is set up, so use the API.
    Handled
  • Supplier Invoices / Bills (ApInvoice)
SYSPRO supplier invoices map to QuickBooks Bills. Vendors must exist first, and tax codes must be mapped before loading.
    Handled
Clean transfer
  • Customers (ArCustomer)
SYSPRO customers map to the QuickBooks Online Customer entity. Custom form fields in [ArCustomer+] need a field-by-field decision.
    Clean
  • Suppliers / Vendors (ApSupplier)
SYSPRO suppliers map to the QuickBooks Online Vendor entity.

What does an Engineer-led migration mean anyway?

Speed & Accuracy: Our Blended Method

We blend automation (smart scripts, bulk APIs) with human expertise for speed without risk. Our engineers manually check every mapping, validation, and exception.

You get:

  1. Speed of automation for bulk record migration
  2. Precision of engineers verifying integrity and business logic
  3. Pilot migrations and sandbox testing to catch issues early
  4. Real-time validation reports and rollback readiness
Result: 50x faster migrations than manual imports — with near-zero error rates.

Handling the Tricky Tech and API Details

The SYSPRO and QuickBooks APIs each behave differently, which is where our engineers shine. We build custom logic to handle the data quirks where generic tools typically break.

We handcraft API logic for:

  1. Field mapping and transformation
  2. Pagination, rate-limit handling, and throttling
  3. Preserving GL history, journal entries, and transaction records
  4. Syncing custom fields, modules, and chart of accounts without breaking structure
Our scripts: Natively retry failed calls, re-queue large attachments, and ensure data parity.

No Guesswork

We don't just promise smooth migrations—we measure and prove them. Every client receives a Migration Validation Report with all metrics.

Typical results across projects:

  1. 100% record-count parity between your SYSPRO data and QuickBooks
  2. Zero downtime during staged cutovers
  3. 99.9% attachment integrity (verified via checksum)
  4. Full automation and preservation of all business rules
Our standard: Includes full audit-trail and reconciliation preservation and 30 days of engineer-assigned support post go-live.

We Adapt to Your Setup (Not the Other Way Around)

No two teams configure SYSPRO or QuickBooks exactly the same way—with unique modules and data. We customize every migration script to fit your exact workflow, modules, and chart of accounts.

Our engineers adapt for:

  1. Custom fields, modules, and workflows
  2. Multi-entity or multi-company setups
  3. Historical imports and partial (date-based) migrations
  4. Integration re-mapping for banking, payroll, or reporting tools
The promise: If your data doesn't fit a standard template, we build one just for you.

SYSPRO → QuickBooks

6 questions
What happens to my SYSPRO Sales Orders during migration — QuickBooks doesn't have them?
QuickBooks has no native Sales Order entity, so SYSPRO Sales Orders are migrated as Estimates, which is the closest available equivalent. Your team will need to manually promote those Estimates to Invoices inside QuickBooks for any orders that still need to be fulfilled or invoiced after cutover. Open and closed orders are migrated, but the Sales Order workflow itself does not carry over — that process needs to be reconfigured in QuickBooks as part of your own implementation.
How are SYSPRO Tax Codes handled when moving to QuickBooks Online, given that QBO limits manual tax code creation?
SYSPRO Tax Codes are mapped to QuickBooks Online TaxCode objects, but QBO's Automated Sales Tax engine in the US locale often restricts direct creation of TaxRate and TaxCode records via the API, requiring use of the TaxService endpoint or manual configuration inside the QBO UI before records can be linked programmatically. Where a SYSPRO code carries compound or multi-jurisdictional logic, it is flattened into QBO's TaxCode and linked TaxRateDetail structure. Any SYSPRO-side metadata with no direct QBO field — such as GL account linkages or descriptive notes — is documented in a mapping table provided with the migration. For QuickBooks Desktop targets, equivalent Sales Tax Items or Sales Tax Groups are created via IIF import instead.
My SYSPRO data has custom form fields — will those come across into QuickBooks?
SYSPRO stores custom form fields in separate 'plus tables' (for example, ArCustomer+ for customer custom fields), which require a dedicated extraction step separate from the main entity tables. QuickBooks Online's API exposes only a small number of custom fields per entity, so any SYSPRO custom fields beyond those cannot be stored in native QuickBooks custom field slots. Fields that exceed the limit are mapped into an available text field, appended to a name or description field, or documented in a handover report so your team knows what to reconfigure manually after cutover.
What happens to SYSPRO Goods Received Notes (GRNs) when they migrate to QuickBooks?
GRNs have no direct equivalent in QuickBooks and are recorded as Purchase transactions, which is the closest structural match for representing goods receipt. Because this is a workaround rather than a direct mapping, the receiving workflow and any associated GRN status or approval metadata do not carry over and will need to be re-established in QuickBooks as part of your process setup. Prerequisite records — specifically Vendors and Items — must exist in QuickBooks before GRN-derived Purchase records can be written, so the migration loads those entities first.
What do I need to set up in SYSPRO and QuickBooks before the migration can start?
On the SYSPRO side, we need read access to the SQL Server company database; on Syspro Cloud ERP, SYSPRO's read-only OData service is the only access route. On the QuickBooks Online side, OAuth 2.0 credentials must be established and the connected company realm confirmed, since QuickBooks Online's API rate and batch limits apply per company and affect how the migration is sequenced.
Will SYSPRO inventory lot and serial number tracking survive the move to QuickBooks?
SYSPRO's lot and serial number tracking is more granular than what the QuickBooks Online API exposes — QBO's API has limited inventory tracking detail compared to its own UI, and lot or serial number fields are not available as structured data on Item or transaction records via the API. This means detailed lot and serial traceability will not be present in QuickBooks after migration, and that tracking capability needs to be reconfigured or handled through a separate inventory add-on as part of your QuickBooks implementation. We document all fields from SYSPRO that have no landing place in QuickBooks so nothing is silently dropped without a record of it.

Before you start

2 questions
Do I need professional help for this migration?
While simple migrations can sometimes be handled in-house, professional help ensures zero data loss, proper field mapping, and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.

Data & mapping

2 questions
Will original document numbers, created dates and user references be preserved?
Yes — we carry them across. Where QuickBooks cannot store one of them natively, it is kept in a custom field or reference on the migrated record, so every record can be traced back to SYSPRO.
If the new system can't natively support an old record type, what are my options?
We handle it case by case: map it to the closest native object, create a custom field or object, fold it into the parent record as text or an internal note, attach it as a file, or keep it in a read-only archive. You see how your chosen approach looks in a sample migration before we run the full set.

Timeline & downtime

3 questions
How long does the SYSPRO to QuickBooks migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will my team lose access to SYSPRO during the migration?
No. SYSPRO stays fully operational while we run the bulk load in the background. The only pause is a short freeze before go-live, so the final delta of changed records can be applied and reconciled.
Will there be downtime when migrating from SYSPRO to QuickBooks?
Very little. The bulk load runs in the days before go-live while SYSPRO stays live. We go live on a Monday, never a Friday: SYSPRO freezes before the working day starts, and the final delta covers changed records only, which typically takes about 30 minutes.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes — all migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee based on the scope estimate you give us — small variances in actual volume (a bit more or less) don't change the price.

After go-live

5 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count parity, attachment integrity verification via checksum, and full audit logs. We also offer unlimited sample migrations so you can verify before committing.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support. During this period, we will assist with everything needed to ensure your transition is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each SYSPRO record — customers, suppliers, items, orders and invoices — to its new ID in QuickBooks. This ensures full traceability and simplifies post-migration verification.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Platform-level behavior — posting setup, approval workflows, and similar configuration — is handled by QuickBooks's own support or your implementation partner.
Will we get a report showing exactly what migrated versus what didn't?
Yes. You get a final reconciliation report comparing source and target counts for every object.
