MIGRATION OVERVIEW

Why teams migrate from SYSPRO to Oracle NetSuite

The core problem
Migrating from SYSPRO to Oracle NetSuite means moving data from SYSPRO's per-company SQL Server databases into NetSuite record types through NetSuite's governed APIs or CSV Import Assistant. No native migration path exists between the two systems. The data is extracted once, read-only, from SQL Server (or through SYSPRO's OData service), transformed, and loaded within NetSuite's account-wide concurrency limit. Key differences include SYSPRO's structured GL codes versus NetSuite's accounts plus classifications, the Subsidiary field NetSuite OneWorld requires on customers, vendors and the chart of accounts, and costing methods such as Last cost that have no NetSuite equivalent. SYSPRO's custom form plus tables map to NetSuite custom fields or custom records, and archived history sits in SYSPRO XML archive files that must be collected before the licence expiry date. The data migration takes days. The NetSuite implementation around it takes months.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a SYSPRO to Oracle NetSuite migration.

Most Critical

Sub-assembly load order

Each SYSPRO sub-assembly must become its own NetSuite assembly item, loaded bottom-up so every parent can reference components that already exist.

Blocks all downstream imports if mapped wrong

GL Account Segment Remapping

SYSPRO structured ledger codes (for example branch, department and account sections) must be split into a NetSuite account number plus department, class, location or custom segment values.

Costing Method Incompatibility

SYSPRO's Last cost method has no NetSuite equivalent, and Actual costing needs a decision for lot and serial items. NetSuite does not let you change the costing method once it is saved on the item record, so finance signs off before items load.

Archived Transactional Data Recovery

SYSPRO's archiving moves purged sales orders, jobs and bills of materials out of the live SQL tables into XML files, so that history must be located and extracted separately.

NetSuite API Concurrency Limits

NetSuite applies one concurrency limit to web services and RESTlet requests across the account, so the load needs batching and retry logic sized to your service tier.

Subsidiary-Aware Entity Mapping

In NetSuite OneWorld, imports of customers, vendors, employees, contacts and the chart of accounts fail unless every row identifies a subsidiary.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from SYSPRO to Oracle NetSuite and built proven solutions for each one.

High complexity
  • Inventory Items (InvMaster)
The costing method must be agreed before loading because NetSuite does not allow it to change once saved on the item, and Last cost has no NetSuite equivalent.
    Solved
  • Bills of Materials and routings (BomOperations)
Sub-assemblies must be created as assembly items before their parents, and routing steps need NetSuite's Manufacturing Routing and Work Center feature enabled.
    Solved
  • GL Accounts (GenMaster)
SYSPRO structured ledger codes must be split into NetSuite accounts plus classification values, and the classifications must exist before any transaction loads.
    Solved
  • Work-in-Progress Jobs (WipMaster)
Material and labour allocations from WipJobAllMat and WipJobAllLab need NetSuite's Manufacturing Work In Process feature, or must be summarised into custom records.
    Solved
Custom engineering
  • Customers (ArCustomer)
Core fields map to NetSuite Customer records, but customer groups, custom plus-table fields and the OneWorld Subsidiary field need explicit transformation logic.
    Handled
  • Vendors (ApSupplier)
Supplier payment terms and currency settings need deliberate mapping to NetSuite vendor records, and OneWorld imports need a subsidiary on every row.
    Handled
  • GL Transactions (GenTransaction)
Historical GL detail is usually summarised into opening balance journal entries, with only current-period detail migrated, which needs finance to agree the cutoff date.
    Handled
  • Open Sales Orders (SorMaster/SorDetail)
SYSPRO holds order headers and lines in two tables that must be joined and restructured into NetSuite sales orders with item lines. Migrate open orders only.
    Handled
  • Serial and Lot Numbers (InvSerialHead/LotDetail)
Serial and lot tracking must be set up on the NetSuite items before import, and SYSPRO's lot purge and archive may have moved historical lot transactions out of the live tables.
    Handled
  • Custom Fields (Plus Tables)
SYSPRO's custom form plus-table columns must each be mapped to a NetSuite custom field or custom record, created before the load.

What does an Engineer-led migration mean anyway?

Speed & Accuracy: Our Blended Method

We blend automation (smart scripts, bulk APIs) with human expertise for speed without risk. Our engineers manually check every mapping, validation, and exception.

You get:

  1. Speed of automation for bulk record migration
  2. Precision of engineers verifying integrity and business logic
  3. Pilot migrations and sandbox testing to catch issues early
  4. Real-time validation reports and rollback readiness
Result: 50x faster migrations than manual imports — with near-zero error rates.

Handling the Tricky Tech and API Details

The SYSPRO and Oracle NetSuite APIs each behave differently, which is where our engineers shine. We build custom logic to handle the data quirks where generic tools typically break.

We handcraft API logic for:

  1. Field mapping and transformation
  2. Pagination, rate-limit handling, and throttling
  3. Preserving GL history, journal entries, and transaction records
  4. Syncing custom fields, modules, and chart of accounts without breaking structure
Our scripts: Natively retry failed calls, re-queue large attachments, and ensure data parity.

No Guesswork

We don't just promise smooth migrations—we measure and prove them. Every client receives a Migration Validation Report with all metrics.

Typical results across projects:

  1. 100% record-count parity between your SYSPRO data and Oracle NetSuite
  2. Zero downtime during staged cutovers
  3. 99.9% attachment integrity (verified via checksum)
  4. Full automation and preservation of all business rules
Our standard: Includes full audit-trail and reconciliation preservation and 30 days of engineer-assigned support post go-live.

We Adapt to Your Setup (Not the Other Way Around)

No two teams configure SYSPRO or Oracle NetSuite exactly the same way—with unique modules and data. We customize every migration script to fit your exact workflow, modules, and chart of accounts.

Our engineers adapt for:

  1. Custom fields, modules, and workflows
  2. Multi-entity or multi-company setups
  3. Historical imports and partial (date-based) migrations
  4. Integration re-mapping for banking, payroll, or reporting tools
The promise: If your data doesn't fit a standard template, we build one just for you.

SYSPRO → Oracle NetSuite

6 questions
What happens to my SYSPRO Cash Book entries when migrating to NetSuite?
Cash Book entries are the one entity in this migration that has no direct equivalent in NetSuite, so they are mapped to Payment records as a workaround. Some cash book detail fields that have no Payment counterpart will not carry over, meaning reconciliation notes, bank-specific metadata, or multi-leg entries may be partially lost. Before migration, export a full Cash Book register from SYSPRO and agree with your finance team on exactly which fields must be preserved, then decide whether any gaps need to be rebuilt manually in NetSuite after cutover.
Do I need to prepare anything in NetSuite before the migration can start?
Yes — SYSPRO prerequisite records must exist in NetSuite before dependent data can load. Specifically, GL Accounts (mapped to NetSuite Account) and Inventory Warehouses (mapped to Location) must be present before Sales Orders, Purchase Orders, AR Invoices, AP Invoices, or Inventory Items can import successfully. If your NetSuite account uses OneWorld with multiple subsidiaries, each subsidiary's chart of accounts and locations need to be confirmed in advance, because subsidiary-specific field restrictions can block records that would otherwise import cleanly.
How does ClonePartner connect to SYSPRO to extract the data?
We usually read SYSPRO directly from its SQL Server company database. That reaches every table, including the custom form plus tables such as [ArCustomer+]. Where direct SQL access is not possible, we use SYSPRO's read-only OData service, which SYSPRO describes as the only access mechanism in its Syspro Cloud ERP environment. Each SYSPRO company has its own database, so multi-company sites are extracted company by company, and we confirm the access route on the scoping call.
Will my SYSPRO custom form fields come across to NetSuite?
SYSPRO stores custom form data in separate 'plus tables' — for example, customer custom fields live in [ArCustomer+] rather than the main [ArCustomer] table. We extract those tables separately and map them to NetSuite custom fields, but NetSuite requires metadata discovery first: each custom field and custom record type in your NetSuite account must be identified before the migration pipeline can target it. Any custom fields that exist in SYSPRO but have no matching custom field in NetSuite will not land automatically, so your team needs to create the corresponding NetSuite custom field definitions before we run the full migration.
What happens to historical posted transactions from SYSPRO — can they be imported into NetSuite?
Posted history is usually loaded into Oracle NetSuite as opening balances or kept in an archive, rather than re-created as live transactions. In NetSuite, historical transaction dates may also conflict with closed accounting periods, which blocks the import unless a NetSuite administrator temporarily overrides period locking. ClonePartner surfaces these conflicts during validation so your team can decide period by period whether to unlock, adjust the posting date, or store the history as a Journal Entry summary instead of individual transaction records.
Does running a multi-company SYSPRO setup affect how the migration is scoped?
Yes — each SYSPRO company maintains its own separate SQL Server database, so a multi-company setup means we run extraction company by company rather than in a single pass. On the NetSuite side, if you are on OneWorld, each company will need to map to the correct subsidiary, and subsidiary-specific field restrictions and intercompany transaction rules apply independently. The number of SYSPRO companies in scope directly affects data volume and sequencing, so it is important to confirm the exact company list before the scoping call so we can price and plan the migration accurately.

Before you start

2 questions
Do I need professional help for this migration?
While simple migrations can sometimes be handled in-house, professional help ensures zero data loss, proper field mapping, and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.

Data & mapping

2 questions
Will original document numbers, created dates and user references be preserved?
Yes — we carry them across. Where Oracle NetSuite cannot store one of them natively, it is kept in a custom field or reference on the migrated record, so every record can be traced back to SYSPRO.
If the new system can't natively support an old record type, what are my options?
We handle it case by case: map it to the closest native object, create a custom field or object, fold it into the parent record as text or an internal note, attach it as a file, or keep it in a read-only archive. You see how your chosen approach looks in a sample migration before we run the full set.

Timeline & downtime

3 questions
How long does the SYSPRO to Oracle NetSuite migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will my team lose access to SYSPRO during the migration?
No. SYSPRO stays fully operational while we run the bulk load in the background. The only pause is a short freeze before go-live, so the final delta of changed records can be applied and reconciled.
Will there be downtime when migrating from SYSPRO to Oracle NetSuite?
Very little. The bulk load runs in the days before go-live while SYSPRO stays live. We go live on a Monday, never a Friday: SYSPRO freezes before the working day starts, and the final delta covers changed records only, which typically takes about 30 minutes.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes — all migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee based on the scope estimate you give us — small variances in actual volume (a bit more or less) don't change the price.

After go-live

5 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count parity, attachment integrity verification via checksum, and full audit logs. We also offer unlimited sample migrations so you can verify before committing.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support. During this period, we will assist with everything needed to ensure your transition is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each SYSPRO record — customers, suppliers, items, orders and invoices — to its new ID in Oracle NetSuite. This ensures full traceability and simplifies post-migration verification.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Platform-level behavior — posting setup, approval workflows, and similar configuration — is handled by Oracle NetSuite's own support or your implementation partner.
Will we get a report showing exactly what migrated versus what didn't?
Yes. You get a final reconciliation report comparing source and target counts for every object.
