MIGRATION OVERVIEW

Why teams migrate from SYSPRO to Dynamics 365 Business Central

The core problem
There is no Microsoft migration tool for SYSPRO, so moving to Business Central means extracting the data from SYSPRO's SQL Server company database and translating it into Business Central's model. SYSPRO keeps customers in ArCustomer, stock codes in InvMaster and custom form fields in separate plus tables such as [ArCustomer+]. Business Central drives posting through posting groups and dimensions, so GL integration codes, BOMs, routings and lot tracking all need mapping rather than copying. The data migration takes days. The Business Central implementation around it takes months.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a SYSPRO to Dynamics 365 Business Central migration.

Most Critical

Posting group design

SYSPRO GL integration codes must be mapped to Business Central general business, product, customer, vendor and inventory posting groups before any master data can import.

Blocks all downstream imports if mapped wrong

Custom form plus tables

Custom form fields live in separate tables such as [ArCustomer+], outside the main schema. Each needs a Business Central table extension defined before import.

BOMs and routings

SYSPRO structures and BomOperations routing steps must be rebuilt as Business Central production BOMs and routings, which need the Premium licence and a certified status before use.

Lot and serial traceability

SYSPRO lot and serial history must map to Business Central item tracking codes, or traceability on regulated products breaks at go-live.

Segmented GL accounts

SYSPRO account segments must be split into Business Central G/L account numbers plus dimensions, normalised during transformation.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from SYSPRO to Dynamics 365 Business Central and built proven solutions for each one.

High complexity
  • Bills of materials and routings
Structures and BomOperations steps are rebuilt as production BOMs and routings, and effectivity dates need converting to BOM versions.
    Solved
  • Custom form fields
Plus-table data is lost unless matching table extensions exist in Business Central before the load.
    Solved
  • Lot and serial history
LotDetail and InvSerialHead records must map to item tracking, or traceability is lost for regulated products.
    Solved
Custom engineering
  • Customers and suppliers
ArCustomer and ApSupplier records need valid posting groups in Business Central, or they are rejected on import or post to the wrong accounts.
    Handled
  • Stock codes
InvMaster items need a costing method set correctly before any ledger entry posts, because it cannot be changed afterwards.
    Handled
  • GL history
GenTransaction history is usually summarised to opening balances and monthly net changes, with full detail kept in an archive.

What does an Engineer-led migration mean anyway?

Speed & Accuracy: Our Blended Method

We blend automation (smart scripts, bulk APIs) with human expertise for speed without risk. Our engineers manually check every mapping, validation, and exception.

You get:

  1. Speed of automation for bulk record migration
  2. Precision of engineers verifying integrity and business logic
  3. Pilot migrations and sandbox testing to catch issues early
  4. Real-time validation reports and rollback readiness
Result: 50x faster migrations than manual imports — with near-zero error rates.

Handling the Tricky Tech and API Details

The SYSPRO and Dynamics 365 Business Central APIs each behave differently, which is where our engineers shine. We build custom logic to handle the data quirks where generic tools typically break.

We handcraft API logic for:

  1. Field mapping and transformation
  2. Pagination, rate-limit handling, and throttling
  3. Preserving GL history, journal entries, and transaction records
  4. Syncing custom fields, modules, and chart of accounts without breaking structure
Our scripts: Natively retry failed calls, re-queue large attachments, and ensure data parity.

No Guesswork

We don't just promise smooth migrations—we measure and prove them. Every client receives a Migration Validation Report with all metrics.

Typical results across projects:

  1. 100% record-count parity between your SYSPRO data and Dynamics 365 Business Central
  2. Zero downtime during staged cutovers
  3. 99.9% attachment integrity (verified via checksum)
  4. Full automation and preservation of all business rules
Our standard: Includes full audit-trail and reconciliation preservation and 30 days of engineer-assigned support post go-live.

We Adapt to Your Setup (Not the Other Way Around)

No two teams configure SYSPRO or Dynamics 365 Business Central exactly the same way—with unique modules and data. We customize every migration script to fit your exact workflow, modules, and chart of accounts.

Our engineers adapt for:

  1. Custom fields, modules, and workflows
  2. Multi-entity or multi-company setups
  3. Historical imports and partial (date-based) migrations
  4. Integration re-mapping for banking, payroll, or reporting tools
The promise: If your data doesn't fit a standard template, we build one just for you.

6 questions
Do my SYSPRO tax codes migrate directly into Business Central?
No — this is a workaround mapping. SYSPRO tax codes do not have a direct equivalent in Business Central; they are mapped to BC Tax Areas, which requires configuration adjustments after the data lands. Your team will need to review each Tax Area record in BC, confirm the posting groups and VAT/GST setup are correct for your jurisdiction, and reassign them to the relevant Customer, Vendor, and Item records before going live. Skipping this step can cause incorrect tax calculations on all post-migration transactions.
What happens to our SYSPRO lot tracking data when it moves to Business Central?
Lot tracking is a workaround migration because Business Central does not have a standalone Lot Tracking object. Instead, lot data is distributed across three BC structures: an Item Tracking Code assigned to each Item card (defining how the item is tracked), Item Tracking Lines on transactional records, and the Lot No. Information card for attributes such as expiration dates and certificates. ClonePartner migrates open on-hand lot quantities via Item Journals with lot numbers populated on tracking lines, and migrates lot master attributes into the Lot No. Information table; however, historical lot-traced transactions typically cannot be replayed into BC's posted ledger and are either summarised into opening balances or stored as attached archive documents — your team should decide which approach is acceptable before migration begins.
Will my SYSPRO custom form fields come across to Business Central?
Not automatically. SYSPRO stores custom form fields in separate "plus" tables (for example, ArCustomer+ for customer extensions), which require explicit extraction and mapping steps beyond the standard entity pull. Business Central has no matching native columns for these fields; they must land in either BC's standard Item Attributes feature or in AL table extensions that a developer builds on the relevant BC tables before migration day. ClonePartner extracts the plus-table data and maps it to the agreed target columns, but the AL extension itself needs to exist in your BC environment first.
What prerequisites does my Business Central environment need before ClonePartner can import the data?
Several BC entities must exist before dependent records can load: GL accounts (Chart of Accounts) must be present before Journal Lines can post, Tax Areas must be configured before Customers and Vendors import cleanly, and Item Tracking Codes must be assigned to Item cards before lot-tracked quantities can be written to Item Tracking Lines. Additionally, if you use custom fields that require AL extensions, those extensions must be deployed and their custom API pages published — BC API v2.0 does not expose non-standard tables by default. ClonePartner provides a pre-migration checklist during scoping so your team knows exactly which setup records to create first.
How does ClonePartner extract data from SYSPRO, and does it need direct SQL access?
We usually read SYSPRO directly from its SQL Server company database. That reaches every table, including the custom form plus tables such as [ArCustomer+]. Where direct SQL access is not possible, we use SYSPRO's read-only OData service, which SYSPRO describes as the only access mechanism in its Syspro Cloud ERP environment. Each SYSPRO company has its own database, so multi-company sites are extracted company by company, and we confirm the access route on the scoping call.
Can ClonePartner migrate our historical SYSPRO AR and AP invoices into Business Central's posted ledger?
Business Central's posted ledger entries for GL, customers, and vendors are read-only and cannot be written to directly — historical invoices must be imported through Journal Lines and then posted, not inserted as finished ledger records. This means SYSPRO historical AR Invoices land in BC as Sales Invoice journal entries and AP Invoices as Purchase Invoice journal entries, preserving the financial balances but not recreating each original document as a fully navigable posted invoice. If your team needs the original document-level detail for audit or reporting purposes, those records are typically attached as PDF or structured archive files rather than re-posted, and this distinction should be agreed during the scoping call.

Before you start

2 questions
Do I need professional help for this migration?
While simple migrations can sometimes be handled in-house, professional help ensures zero data loss, proper field mapping, and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.

Data & mapping

2 questions
Will original document numbers, created dates and user references be preserved?
Yes — we carry them across. Where Dynamics 365 Business Central cannot store one of them natively, it is kept in a custom field or reference on the migrated record, so every record can be traced back to SYSPRO.
If the new system can't natively support an old record type, what are my options?
We handle it case by case: map it to the closest native object, create a custom field or object, fold it into the parent record as text or an internal note, attach it as a file, or keep it in a read-only archive. You see how your chosen approach looks in a sample migration before we run the full set.

Timeline & downtime

3 questions
How long does the SYSPRO to Dynamics 365 Business Central migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will my team lose access to SYSPRO during the migration?
No. SYSPRO stays fully operational while we run the bulk load in the background. The only pause is a short freeze before go-live, so the final delta of changed records can be applied and reconciled.
Will there be downtime when migrating from SYSPRO to Dynamics 365 Business Central?
Very little. The bulk load runs in the days before go-live while SYSPRO stays live. We go live on a Monday, never a Friday: SYSPRO freezes before the working day starts, and the final delta covers changed records only, which typically takes about 30 minutes.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes — all migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee based on the scope estimate you give us — small variances in actual volume (a bit more or less) don't change the price.

After go-live

5 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count parity, attachment integrity verification via checksum, and full audit logs. We also offer unlimited sample migrations so you can verify before committing.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support. During this period, we will assist with everything needed to ensure your transition is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each SYSPRO record — customers, suppliers, items, orders and invoices — to its new ID in Dynamics 365 Business Central. This ensures full traceability and simplifies post-migration verification.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Platform-level behavior — posting setup, approval workflows, and similar configuration — is handled by Dynamics 365 Business Central's own support or your implementation partner.
Will we get a report showing exactly what migrated versus what didn't?
Yes. You get a final reconciliation report comparing source and target counts for every object.
