MIGRATION OVERVIEW

Why teams migrate from SYSPRO to Epicor Kinetic

The core problem
Migrating from SYSPRO to Epicor Kinetic requires a full structural data translation between two manufacturing ERPs with different schema conventions. SYSPRO organizes data in module-prefixed SQL Server tables (ArCustomer, InvMaster, SorMaster) within per-company databases, while Epicor Kinetic validates incoming data through its own business logic. There is no native migration path between the two systems — all data must be extracted via direct SQL (or SYSPRO's OData service where SQL is not possible), transformed to match Epicor's entities, and loaded through Epicor's supported import tools. Custom field data stored in SYSPRO's plus tables (e.g., ArCustomer+) requires additional scoping and mapping effort.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a SYSPRO to Epicor Kinetic migration.

Most Critical

No Native Migration Path

There is no supported direct transfer tool between SYSPRO and Epicor Kinetic, so custom ETL pipelines must map SYSPRO's module-prefixed schema to Epicor's entities.

Blocks all downstream imports if mapped wrong

Custom Field Plus Table Extraction

SYSPRO stores custom form data in supplemental plus tables (e.g., ArCustomer+) that are easily overlooked during extraction scoping and must be explicitly enumerated via INFORMATION_SCHEMA.TABLES before migration begins.

Load Through Epicor's Business Logic

Data loaded into Epicor Kinetic should pass Epicor's own validation, so loads go through its supported import tools rather than direct writes to the database, and every rejected record must be caught and fixed.

API Paging and Throughput

Bulk loads through an API need paging, backoff and retry logic, and the limits that apply depend on your Epicor release and hosting, so throughput must be measured during sample migrations.

BOM and Shop Floor Model Divergence

SYSPRO and Epicor Kinetic differ in how they hold BOM revisions, routings and WIP job state, requiring multi-step sequenced loads with referential integrity checks rather than simple table-to-table copies.

2026 Licensing Deadline Pressure

SYSPRO's existing licences expire on 31 October 2026 (outside the US) and 31 December 2026 (US), creating a hard deadline that compresses migration planning and increases the risk of rushed validation.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from SYSPRO to Epicor Kinetic and built proven solutions for each one.

High complexity
  • Bills of Materials (BOMs)
BOM structures differ between SYSPRO and Epicor Kinetic in revision control and component sequencing, requiring custom transformation logic and multi-step sequenced loads with referential integrity checks at each level.
    Solved
  • WIP / Production Jobs
Partially complete SYSPRO jobs carry material and labour already issued, and recreating that state in Epicor Kinetic needs explicit sequencing, so many teams close near-complete jobs in SYSPRO before cutover.
    Solved
  • Custom Fields (Plus Tables)
SYSPRO custom form data stored in plus tables (e.g., ArCustomer+) is easily omitted from extraction scoping and has no automatic mapping to Epicor's user-defined fields, requiring manual discovery, mapping, and load configuration.
    Solved
Custom engineering
  • Inventory / Parts Master
Part records from SYSPRO's InvMaster table require careful field-level mapping, and unit-of-measure and costing method differences can cause validation failures at load time.
    Handled
  • Sales Orders
Open sales orders from SYSPRO's SorMaster and SorDetail tables need status mapping, and archived orders are not queryable through SORQRY, so history is extracted via direct SQL or SYSPRO's archive files.
    Handled
  • Purchase Orders
Purchase orders from PorMasterHdr and PorMasterDetail need careful status mapping between SYSPRO and Epicor Kinetic, with open POs carrying more transformation risk than closed historical records.
    Handled
  • Chart of Accounts
GL accounts in SYSPRO's GenMaster must be mapped to the chart of accounts finance designs in Epicor, and any misalignment will cascade into journal entry and reporting failures after go-live.
    Handled
  • Historical Transactions
Historical AR/AP ledger entries and inventory transactions may need to be loaded as balances rather than full transactional detail, with the detail kept in an archive.
    Handled
Clean transfer
  • Customers
Customer master data maps relatively cleanly from SYSPRO's ArCustomer table to Epicor customers, though plus table custom fields require additional mapping before the load.
    Clean
  • Suppliers
Supplier records from ApSupplier follow a similar extraction and load pattern to customers, making them one of the lower-risk entities in the migration.

SYSPRO → Epicor Kinetic

6 questions
What happens to my SYSPRO Cash Book entries — do they migrate to Epicor Kinetic?
Cash Book in SYSPRO covers both payments and receipts, but Epicor Kinetic has no single equivalent entity; we map the cash receipts side to Payment (Cash Receipt) in Kinetic. Payment transactions that represent outflows or inter-bank transfers will need to be reviewed and posted manually in Kinetic after the migration, as there is no direct target record for that side of the ledger. Plan to reconcile your Cash Book balance in SYSPRO before cutover so your team knows exactly which transactions require manual handling on the Kinetic side.
Does ClonePartner need direct SQL access to our SYSPRO database, or can it work through the API layer?
We usually read SYSPRO directly from its SQL Server company database. That reaches every table, including the custom form plus tables such as [ArCustomer+]. Where direct SQL access is not possible, we use SYSPRO's read-only OData service, which SYSPRO describes as the only access mechanism in its Syspro Cloud ERP environment. Each SYSPRO company has its own database, so multi-company sites are extracted company by company, and we confirm the access route on the scoping call.
We have custom form fields in SYSPRO — will those come across to Epicor Kinetic's UD fields?
SYSPRO stores custom form data in separate plus tables named with a '+' suffix on the base table name (for example [ArCustomer+] for customer custom fields), so they are not returned by standard business object queries and require a dedicated extraction step. On the Kinetic side, User Defined (UD) field schemas vary per tenant and must be discovered dynamically against your specific instance before mapping can be finalised. We handle both the plus-table extraction and the UD schema discovery as part of the migration, but your team must create the UD field definitions in Kinetic before we can import values into them — that configuration step is outside the scope of data migration.
What has to be set up in Epicor Kinetic before the main data load can start?
Epicor Kinetic enforces server-side business logic validation, which means dependent records must exist before the records that reference them can be imported. Specifically, GL Accounts, Warehouses, and Tax Codes must be present in Kinetic before we can load Customers, Suppliers, Inventory Parts, or any transactional data that references them. For bulk initial loads we use Epicor's DMT (Data Migration Tool) where possible, as it is Epicor's recommended path for large datasets; the REST API is used for incremental sync and for record types DMT does not cover. We sequence the migration in the correct dependency order, but any Kinetic company structure, site configuration, and fiscal calendar must be configured by your implementation team before we begin.
Can historical posted transactions from SYSPRO — old GL journals, closed jobs, voided invoices — be migrated into Kinetic?
Historical posted data is one of the trickier areas in this migration. Posted history is usually loaded into Epicor Kinetic as opening balances or kept in an archive, rather than re-created as live transactions. In Epicor Kinetic, closed fiscal periods and posted GL entries are also read-only via the API, so historical GL Journal Entries can typically only land in Kinetic as beginning-balance summary entries rather than line-by-line history. For closed Jobs and voided invoices, Kinetic may require enabling specific BAQs or a direct database access arrangement with your Epicor partner to retrieve or receive that data — confirm with your Kinetic implementer which historical record types your business actually needs in the live system versus what can be retained in SYSPRO as an archive.
We run multiple SYSPRO companies — does ClonePartner migrate all of them in one pass?
Each SYSPRO company has its own SQL Server database, and Epicor Kinetic's multi-company setup requires company and plant context headers on every API call, so each company is migrated as a discrete, sequenced job rather than a single combined pass. The total timeline still falls within the standard 1–5 business day window for most migrations, depending on data volume and complexity across all companies, but we scope each company separately to account for differences in custom fields, entity volumes, and API rate limits. Confirm how many companies and sites are in scope on the scoping call so we can provide an accurate fixed price for the full set.

Before you start

2 questions
Do I need professional help for this migration?
While simple migrations can sometimes be handled in-house, professional help ensures zero data loss, proper field mapping, and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.

Data & mapping

2 questions
Will original document numbers, created dates and user references be preserved?
Yes — we carry them across. Where Epicor Kinetic cannot store one of them natively, it is kept in a custom field or reference on the migrated record, so every record can be traced back to SYSPRO.
If the new system can't natively support an old record type, what are my options?
We handle it case by case: map it to the closest native object, create a custom field or object, fold it into the parent record as text or an internal note, attach it as a file, or keep it in a read-only archive. You see how your chosen approach looks in a sample migration before we run the full set.

Timeline & downtime

3 questions
How long does the SYSPRO to Epicor Kinetic migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will my team lose access to SYSPRO during the migration?
No. SYSPRO stays fully operational while we run the bulk load in the background. The only pause is a short freeze before go-live, so the final delta of changed records can be applied and reconciled.
Will there be downtime when migrating from SYSPRO to Epicor Kinetic?
Very little. The bulk load runs in the days before go-live while SYSPRO stays live. We go live on a Monday, never a Friday: SYSPRO freezes before the working day starts, and the final delta covers changed records only, which typically takes about 30 minutes.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes — all migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee based on the scope estimate you give us — small variances in actual volume (a bit more or less) don't change the price.

After go-live

5 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count parity, attachment integrity verification via checksum, and full audit logs. We also offer unlimited sample migrations so you can verify before committing.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support. During this period, we will assist with everything needed to ensure your transition is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each SYSPRO record — customers, suppliers, items, orders and invoices — to its new ID in Epicor Kinetic. This ensures full traceability and simplifies post-migration verification.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Platform-level behavior — posting setup, approval workflows, and similar configuration — is handled by Epicor Kinetic's own support or your implementation partner.
Will we get a report showing exactly what migrated versus what didn't?
Yes. You get a final reconciliation report comparing source and target counts for every object.
