MIGRATION OVERVIEW

Why teams migrate from Desk365 to Dixa

The core problem
Migrating from Desk365 to Dixa has no native or third-party automated path as of January 2025, requiring a fully custom API-to-API or ETL-based approach. The two platforms use fundamentally incompatible data models: Desk365 stores discrete tickets with multi-state statuses, categories, and Microsoft 365-native constructs, while Dixa models everything as conversations routed through visual Flows and Queues with a binary Open/Closed state. Custom work is required to flatten Desk365's multi-status ticket lifecycle into Dixa's binary model, remap custom fields from cf_-prefixed ticket fields to UUID-based Custom Attributes, normalize all historical conversation threads into Dixa's supported import channel types (email or genericapimessaging), and manually rebuild all automations and SLA policies as Dixa Flows. Dixa's import endpoint has no idempotency guarantee, meaning deduplication logic must be implemented externally to prevent duplicate conversations on any retry.
Why this matters for your migration
KEY CHALLENGES

What makes this migration complex

These are the architectural mismatches and technical hurdles specific to a Desk365 to Dixa migration.

Most Critical

Ticket-to-Conversation Model Mismatch

Desk365's discrete ticket model with multi-state statuses (Open, Pending, Resolved, Closed, plus custom statuses) must be translated into Dixa's binary Open/Closed conversation model, requiring explicit mapping of intermediate statuses to Dixa tags or Custom Attributes to avoid data loss.

Blocks all downstream imports if mapped wrong

Import Channel Type Restrictions

Dixa's /v1/conversations/import endpoint only accepts email and genericapimessaging as valid channel values, requiring all Desk365 conversation history — regardless of original channel — to be normalized into one of these two types before loading.

No Import Idempotency

Dixa's conversation import endpoint does not deduplicate on re-import, meaning any script retry or failure recovery without a custom deduplication layer in an intermediate staging store will create duplicate conversations in the target system.

Automations and SLAs Cannot Be Migrated

Desk365 automation rules and SLA policies have no direct export or import path into Dixa and must be fully rebuilt from scratch as Dixa Flows using the visual builder, representing a significant manual configuration effort outside the data migration scope.

Custom Field Schema Remapping

Desk365 custom ticket fields use a cf_-prefixed naming convention while Dixa Custom Attributes are UUID-based, requiring a field-by-field mapping exercise and pre-creation of all target Custom Attributes in Dixa before any data load can begin.

No Native Company Entity in Dixa

Desk365 supports a native Company object linked to Contacts, but Dixa has no equivalent company entity, meaning company-level relationships and metadata must be flattened into End User attributes or dropped entirely during migration.

MIGRATION RISK ASSESSMENT

Every migration risk, already solved

Migration between platforms is full of edge cases. Our engineers have identified every risk from Desk365 to Dixa and built proven solutions for each one.

High complexity
  • Conversation Threads / Replies
Desk365 CSV exports do not include full reply threads, so conversation history requires full API extraction and transformation into Dixa's message model, with risk of thread ordering or participant attribution errors during mapping.
    Solved
  • Companies
Dixa has no native company entity, so all company-level data from Desk365 must either be denormalized onto individual End User records or discarded, with no lossless mapping path available.
    Solved
  • Custom Fields / Custom Attributes
Multi-level or complex custom fields require the most transformation effort, as cf_-prefixed Desk365 fields must be pre-created as UUID-based Custom Attributes in Dixa before migration and individually mapped with type validation.
    Solved
  • Ticket Statuses
Desk365's multi-state status model including custom statuses collapses into Dixa's binary Open/Closed model, and any custom statuses without an explicit mapping strategy will be silently lost during migration.
    Solved
  • Automations / SLA Policies
There is no programmatic migration path for Desk365 automation rules or SLA policies into Dixa Flows; all routing logic must be manually rebuilt in Dixa's visual Flow builder, creating operational risk during the post-cutover period.
    Solved
Custom engineering
  • Tickets / Conversations
Tickets map reasonably to Dixa conversations via the import endpoint, but the Desk365 API's 10,000-ticket-per-hour extraction cap requires careful rate management for large datasets to avoid incomplete pulls.
    Handled
  • Attachments
Attachments are not included in Desk365 CSV exports and must be retrieved via API, then re-uploaded to Dixa during the import process, introducing additional API call volume and potential for broken attachment references if URLs expire.
    Handled
  • Knowledge Base Articles
Both platforms have built-in knowledge bases, but there is no direct import bridge between them, requiring either manual recreation of articles or a custom export-and-load script with HTML content transformation.
    Handled
Clean transfer
  • Contacts / End Users
Desk365 contacts map directly to Dixa End Users via the End Users API with straightforward field correspondence, making this one of the lower-risk entity transfers in the migration.
    Clean
  • Tags
Tags are supported in both platforms and can be carried over during conversation import with relatively low transformation complexity, though Desk365 category and type fields intended to become tags require explicit mapping decisions.

What does an Engineer-led migration mean anyway?

Speed & Accuracy: Our Blended Method

We blend automation (smart scripts, bulk APIs) with human expertise for speed without risk. Our engineers manually check every mapping, validation, and exception.

You get:

  1. Speed of automation for bulk record migration
  2. Precision of engineers verifying integrity and business logic
  3. Pilot migrations and sandbox testing to catch issues early
  4. Real-time validation reports and rollback readiness
Result: 50x faster migrations than manual imports — with near-zero error rates.

Handling the Tricky Tech and API Details

The Desk365 and Dixa APIs each behave differently, which is where our engineers shine. We build custom logic to handle the data quirks where generic tools typically break.

We handcraft API logic for:

  1. Field mapping and transformation
  2. Pagination, rate-limit handling, and throttling
  3. Preserving conversation threads, attachments, and internal notes
  4. Syncing custom fields, SLAs, and macros without breaking structure
Our scripts: Natively retry failed calls, re-queue large attachments, and ensure data parity.

No Guesswork

We don't just promise smooth migrations—we measure and prove them. Every client receives a Migration Validation Report with all metrics.

Typical results across projects:

  1. 100% record-count parity between your Desk365 data and Dixa
  2. Zero downtime during staged cutovers
  3. 99.9% attachment integrity (verified via checksum)
  4. Full automation and preservation of all business rules
Our standard: Includes full SLA preservation and 30 days of engineer-assigned support post go-live.

We Adapt to Your Setup (Not the Other Way Around)

No two teams configure Desk365 or Dixa exactly the same way—with unique automations and data. We customize every migration script to fit your exact workflow, tags, and triggers.

Our engineers adapt for:

  1. Custom fields, ticket forms, and workflows
  2. Multi-brand or multi-language setups
  3. Historical imports and partial (date-based) migrations
  4. Integration re-mapping for CRMs, chat, or feedback tools
The promise: If your data doesn't fit a standard template, we build one just for you.

Before you start

5 questions
Do I need professional help for this migration?
Yes. Professional help ensures proper field mapping and preservation of relationships between records. Our engineer-led approach catches edge cases that automated tools miss.
Does ClonePartner provide guidance before committing?
Yes. We provide a free consultation and assessment. We'll review your data structure, discuss your requirements, and provide a detailed migration plan and fixed-price quote before you commit to anything.
Do you use an off-the-shelf tool to migrate from Desk365 to Dixa, or is this built for our data?
It is built for your data. Each migration is a set of custom scripts written for your data model, not a generic import tool. That is also why we start with a sample migration: you see your own records in Dixa before the full migration is committed.
Can we see a sample of our Desk365 data migrated to Dixa before the full migration runs?
Yes. We run a sample migration on your own data first, so you can review how your records look in Dixa before the full migration goes ahead. We run validation scripts to confirm the record counts match your source, and you check the sample against your source records; if a field is missing or mapped wrong, or anything else needs adjusting, we fix it in the migration scripts and re-run the sample as many times as you need. The full migration only runs after you've approved the sample. On projects delivered in phases, each phase gets its own sample migration for you to approve.
Do we need to keep our Desk365 account active during the migration?
Usually, yes. Keep it active until we confirm the migration is complete, including the final delta migration, because we read your data directly from your Desk365 account throughout the project. If your subscription is due to end mid-project, extending it to cover the migration window keeps everything on track, and we tell you when it is safe to cancel. If it has to close sooner, we can pull your data out before it closes and migrate from that copy.

Data & mapping

8 questions
Will the original assignees, message authors and created dates be preserved?
Yes. Created-time metadata is carried across, and so are assignees and message authors who have a user account in Dixa. Where Dixa cannot store one of them natively, it is kept as embedded metadata on the migrated record.
If the new system can't natively support an old record type, what are my options?
We handle it case by case. While mapping your data, we identify every record type without a direct counterpart in Dixa, review sample records from it and propose how it can be represented, based on what Dixa supports: map it to the closest native object, create a custom field or object, fold it into the parent record as text or a note, attach it as a file, or keep it in a read-only archive. You choose the approach, we write the migration scripts to place the data there, so it comes across in the form you choose instead of being left behind, and you see how it looks in a sample migration before we run the full set.
Will the migration set off automations or send emails or notifications to customers, our team or anyone else?
No. Before the sample or full migration starts, we confirm with you that nothing in Dixa will send messages about the migrated data: we import with notifications switched off wherever Dixa allows it, and either pause any automation that could send them for the migration window or give it a condition, such as a suppression tag, that skips migrated records, which lets your live automations keep running for new records. We only proceed once you have confirmed it. If you want anyone told about the move, that message is sent separately, once the migrated data has been checked.
Can you migrate data that Dixa can't take in through an API?
In many cases, yes. Where something can't be written through an API, we recreate it through Dixa's user interface where the interface allows it, and where that work is repetitive we script and automate it. We tell you up front which items are handled this way, because recreating them through the interface can add time to the schedule.
What happens if Dixa requires fields our Desk365 data doesn't have?
We check the destination for required fields your source data cannot fill and bring each one to you before those records are migrated. Together we agree how each one is handled, such as a mapping from an existing field, a default value, or, where Dixa lets that field be made optional, setting it to not required for the migration so you can make it required again once the migration is complete. The migration then runs with that rule applied, so no records are rejected or left behind.
How will we tell migrated records apart from the ones already in Dixa?
We can mark every migrated record in Dixa, for example with a custom checkbox field such as "Migrated from Desk365", so your team can tell migrated data apart from records created there. We agree the marker with you during scoping so it fits how your team uses Dixa.
Do internal notes and system-generated notes from Desk365 migrate to Dixa, or only customer-facing replies?
Internal notes can come across, and so can system-generated notes where Desk365's API makes them available. During scoping you choose which notes to include, so Dixa holds the history your team will actually use.
Can you combine data from Desk365 and other support tools into one Dixa account?
Yes. Each tool's data is extracted separately and written into the same Dixa account. How records from the different tools fit together is settled in the data mapping before the build. The sample migration includes data from every source, so you can check the combined result before the full run.

Timeline & downtime

5 questions
How long does the Desk365 to Dixa migration take?
Most migrations complete within 1–5 business days, depending on data volume and complexity; very large migrations, such as several hundred thousand records, take longer. We provide a detailed timeline after the initial assessment and can often complete small migrations in under 24 hours.
Will there be downtime when migrating from Desk365 to Dixa?
No. Our migration process is designed for zero downtime. Desk365 stays fully operational throughout: the bulk migration runs in the background and the cutover is fast, so there is no disruption to your live business operations.
Our team has already started working in Dixa. Can we still migrate our Desk365 history?
Yes. We take the exact date, time and time zone your team went live as the cutoff, and migrate the history up to that point, so the work already done in Dixa is left as it is. That go-live moment separates the two systems' records, so we confirm it with you before anything runs.
How long does it take to export a very large ticket history from Desk365?
Extraction time depends on volume: a history of more than half a million tickets can take several days to pull. Your Desk365 account needs to stay active until extraction is finished, so we confirm its end date with you at the start and plan the schedule around it.
Can we change fields or settings in Desk365 or Dixa while the migration is running, and is there anything we should switch off?
Mostly yes, and your team can keep working as normal, but leave the fields being migrated as they are, in Desk365 and Dixa, until the migration, including the final delta, is complete. The field mappings are set before the run starts, so hold off on renaming or removing those fields, and changing a migrated field's options, archiving it, or marking it as required or conditional can stop records from migrating. Where needed, and as agreed with you, we set the matching fields in Dixa to active, not required and not conditional for the duration of the migration. Other fields can be added or removed in the meantime. Also pause any AI agents, automations or rules in Dixa that could act on migrated records, so they don't fire on historical records as they arrive; if some must keep running for live work, we can instead agree a condition that makes them skip migrated records. Once the migration is complete, you can switch them back on, restore those field settings and rename fields freely.

Security & access

1 question
Can we whitelist a single IP instead of opening our network to your migration tool?
Yes. All migration traffic runs through a centralized system using one fixed IP, which your IT team can whitelist instead of opening broader network access.

Pricing

1 question
Is migration pricing a flat fee, or does it scale with data volume?
It's a flat fee with no hidden costs. The price we agree with you for your scope is the price you pay, and small variances in the final volume, a bit more or less, are included.

After go-live

6 questions
How do I validate that everything migrated correctly?
Every client receives a Migration Validation Report with comprehensive metrics including record-count comparison, attachment integrity verification via checksum, and full audit logs of the migration run, showing every record created, skipped or failed. If any item didn't come across, the report names each one, the specific reason, and how to bring it across if you want it there. We also offer unlimited sample migrations, so you can check your data before the full migration runs.
What support do you provide after the migration goes live?
At ClonePartner, we consider ourselves your partners in this journey. We take full accountability for your migration's success. Once your migration goes live, we provide 30 days of comprehensive post-migration support as standard, and longer support, such as 60 or 90 days, can be agreed for your project. During this period, we help with anything related to your migrated data, so your migration is a complete success.
Will we get a migration report and a mapping sheet linking old record IDs to new ones?
Yes. We provide a comprehensive migration report along with an ID-mapping sheet that links each old Desk365 record ID to its new ID in Dixa. This ensures full traceability, simplifies post-migration verification, and helps your team validate that records have been migrated accurately.
After migration, do I contact ClonePartner or the platform's own support if something looks wrong?
ClonePartner is the contact for anything about the migrated data itself. Questions about the platform itself, such as how its features and settings work, go to the platform's own support or to whoever administers it for you.
Can we keep an offline archive of our old Desk365 data?
Yes. The archive is delivered to you as a set of local files: folders holding the ticket data and attachments, plus an HTML file that reads from those folders so you can browse tickets in a web browser. Nothing is hosted on our servers and there is no software to install, so you can store it wherever suits you, such as Google Drive or Box.
Can you keep our CRM updated with support activity after we move from Desk365 to Dixa?
Yes, where Dixa's API makes that activity available. We build an ongoing sync on Dixa's and your CRM's APIs that writes support activity to the right contacts and companies, and you decide what gets logged. It is a separate piece of work from the migration, scoped and priced on its own.
