# SYSPRO vs SAP Business One: Which to Choose in 2026

# SYSPRO vs SAP Business One: Which to Choose in 2026

**SYSPRO** is a manufacturing and distribution ERP that stores each company's data in its own Microsoft SQL Server database. **SAP Business One** is an ERP for smaller companies that runs on either SAP HANA or Microsoft SQL Server. It stores customers and suppliers in one Business Partner model and exposes its data through an OData Service Layer.

**One-line verdict:** Lean towards SYSPRO if deep bills of materials, routings, co-products and job costing drive your decision. Lean towards SAP Business One if you want a single Business Partner model, a read-and-write REST API and the option of in-memory SAP HANA.

If you have already chosen SAP Business One, the [SYSPRO to SAP Business One migration guide](https://clonepartner.com/blog/blog/syspro-to-sap-business-one-migration-technical-guide) covers the mechanics. The related posts at the end compare SYSPRO with other targets.

> [!WARNING]
> **SYSPRO licensing deadline:** SYSPRO is ending its Initial and Annual Licence Fee model. Existing licences expire on **31 October 2026** for customers outside the US and **31 December 2026** for US customers. After the expiry date, SYSPRO's formal notice states that "you will no longer be able to access Syspro" without a new subscription agreement ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)). Raise the data export with SYSPRO before your date, or now if it has passed. Raise your data export with your account manager before your expiry date, whichever system you choose. For the full breakdown, see [SYSPRO Licence Change 2026: Deadlines Explained](https://clonepartner.com/blog/blog/syspro-licence-change-2026-deadlines-explained).

## How do SYSPRO and SAP Business One differ architecturally?

SYSPRO 8 stores its data in Microsoft SQL Server ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). SAP Business One is documented in two versions, one for Microsoft SQL Server and one for SAP HANA, and its Service Layer runs on both ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)). That database choice shapes hosting, reporting performance and how you get data in and out.

### SYSPRO's data model

SYSPRO stores each company's data in its own SQL Server database, plus one system-wide database for information that is not specific to any company. A single-company site therefore has two databases ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)).

Table names follow a module prefix: `ArCustomer` for customers, `ApSupplier` for suppliers, `InvMaster` for stock codes, `SorMaster` and `SorDetail` for sales order headers and lines, `PorMasterHdr` for purchase order headers. Table names are capped at 18 characters ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). Custom form data lives in "plus tables": a table with the parent's name and a `+` suffix, such as `[ArCustomer+]` ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). These are separate tables, not extra columns on the parent.

Customers (`ArCustomer`) and suppliers (`ApSupplier`) sit in separate tables. To get a full view of a customer you join tables in SQL, or call an e.net query object such as `ARSQRY` (Customer Query) ([help.syspro.com](https://help.syspro.com/business-object-library/G_Objects/ars/arsqry/arsqry.htm)).

### SAP Business One's data model

SAP Business One holds customers, suppliers and leads in one **Business Partner** entity. The Service Layer metadata maps `BusinessPartners` to the `OCRD` table and uses a `CardType` value of `C` (customer), `S` (supplier) or `L` (lead) ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)).

Extensibility comes through **user-defined fields (UDFs)**, named with a `U_` prefix. SAP says UDFs, user-defined tables and user-defined objects appear in the Service Layer metadata from SAP Business One 9.1 patch level 05 ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)). So custom fields are available through the API without a separate join.

On the HANA version, SAP describes HANA as relying "on main memory for computer data storage, providing faster and more predictable performance than database management systems that employ a disk storage mechanism". An on-premise HANA install also requires a hardware platform "certified by SAP Business One" ([help.sap.com](https://help.sap.com/doc/8f1eda89c1674ba1af0270c60c299d1e/10.0_SP_2405/en-US/3c15112f563746838dbc88a178ebfd19.pdf)). Count that hardware in your cost comparison if you plan to self-host.

### API architecture compared

|---|---|---|
| **Primary API** | e.net business objects, called by name ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/business-objects/business-objects-ovr.htm)). The Communications Load Balancer hosts a REST binding alongside net.tcp and HTTP bindings ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/topics/syspro-services/syspro-8-enet-communications-load-balancer/syspro-8-enet-communications-load-balancer.htm)) | Service Layer, built on HTTP and OData, supporting OData versions 3 and 4 ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)) |

| **Bulk read** | OData service, limited to 5,000 rows, paged with `$top` and `$skip` ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/insights-and-reporting/syspro-odata/syspro-odata.htm)) | Paged with `$top` and `$skip`. Default page size is 20, configurable with `PageSize` or `odata.maxpagesize` ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)) |
| **Write operations** | e.net business objects. The OData service is read-only ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/syspro-services/syspro-odata-service/syspro-odata-service.htm)) | Create, read, update and delete through the Service Layer ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)) |
| **Cloud access** | OData is "the only mechanism available" in Syspro Cloud ERP ([help.syspro.com](https://help.syspro.com/syspro-8-2025/topics/insights-and-reporting/syspro-odata/syspro-odata.htm)) | Ask your SAP partner which interfaces your hosting option exposes |

## How do manufacturing and operations compare?

SYSPRO's documentation describes a detailed manufacturing model. SAP Business One covers production orders and MRP, with a broader set of components around them. The table only lists what each vendor documents.

| Capability | SYSPRO | SAP Business One |
|---|---|---|
| **Bill of materials** | Assemblies, sub-assemblies and components "using up to 15 levels", with each component assigned to an operation in the routing (SYSPRO 7 Update 1 help, [help.syspro.com](https://help.syspro.com/syspro-7-update-1/_bomovr.htm)) | Production BOMs are included in the MRP run and support standard production orders. MRP works "at the lowest level of the BOM" when child items have children of their own ([help.sap.com](https://help.sap.com/doc/df83341c66ca42f492d7c5f611b042a8/10.0/en-US/How_to_Configure_and_Use_MRP_in_SAP_Business_One.pdf)) |
| **Routings** | Up to 999 operations per BOM structure ([help.syspro.com](https://help.syspro.com/syspro-8-2024/g_programs/imp/imp012/imp012.htm)) | Not compared here |
| **Co-products** | Maintained against a notional part on the route ([help.syspro.com](https://help.syspro.com/syspro-8-2024/g_programs/imp/imp012/imp012.htm)) | Not compared here |
| **Jobs / production** | Jobs with material and operation allocations in the Work in Progress module ([help.syspro.com](https://help.syspro.com/syspro-8-2022/g_programs/wip/wipp05/wipp05.htm)) | Production orders, including disassembly production orders, feed MRP supply and demand ([help.sap.com](https://help.sap.com/doc/df83341c66ca42f492d7c5f611b042a8/10.0/en-US/How_to_Configure_and_Use_MRP_in_SAP_Business_One.pdf)) |
| **MRP** | Requirements shown per stock code and warehouse, with master production scheduled items ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r2/g_programs/mrp/mrppe1/mrppe1.htm)) | MRP uses sales orders, forecasts and production orders, and can run at warehouse level ([help.sap.com](https://help.sap.com/doc/df83341c66ca42f492d7c5f611b042a8/10.0/en-US/How_to_Configure_and_Use_MRP_in_SAP_Business_One.pdf)) |
| **Lot and serial tracking** | Lot traceability "at transactional level" ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/distribution/lots/lots-ovr.htm)) and serial tracking for stock items ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/distribution/serials/serials-ovr.htm)) | Check batch and serial depth against your audit needs with your SAP partner |
| **Multi-currency** | Exchange rates in `TblCurrency`, dated rates in `TblCurrDatedRates` ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/dated-exchange-rates/dated-exchange-rates-ovr.htm)) | Not compared here |

Where a cell says "not compared here", we could not confirm the detail on the vendor's own documentation. Ask for a demo against your own data before you rely on it.

## How does data portability work for each system?

Data portability matters twice: once when you leave SYSPRO, and again whenever you leave the system you pick now.

**Getting data out of SYSPRO.** The most complete route is a read of the SQL Server company database, which reaches every table, including the plus tables. SYSPRO's best-practice guide warns that "connecting to the SYSPRO databases directly using SQL drivers is not advised" ([help.syspro.com](https://help.syspro.com/syspro-8-2023/resources/pdfs/2023-release/technical/syspro-8-best-practices-for-connecting-to-syspro.pdf)). That warning is about live integrations. For a migration, run a one-off, read-only extract, ideally against a restored copy of the database. Where SQL is not possible, the read-only OData service is the route, and it is the only one in Syspro Cloud ERP. e.net business objects suit integration, not bulk extraction.

SYSPRO's formal notice says: "On cessation of your current licence, you have the right to export your data" ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)).

> [!CAUTION]
> **SYSPRO Harmony is not an API.** SYSPRO Harmony is "a collaborative, user-friendly social platform" that connects users "via a chat method" ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/harmony/harmony-ovr.htm)). It cannot be used for data extraction or integration.

**Getting data into SAP Business One.** SAP lists two relevant tools. The Data Transfer Workbench "enables importing and updating data in large volumes" ([help.sap.com](https://help.sap.com/doc/8f1eda89c1674ba1af0270c60c299d1e/10.0_SP_2405/en-US/3c15112f563746838dbc88a178ebfd19.pdf)). The Service Layer supports create and update operations over OData ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf)).

The biggest structural gap is the Business Partner merge. SYSPRO keeps customers and suppliers in separate tables, and SAP Business One holds both in `OCRD`. Plus tables become UDFs, and the chart of accounts must be mapped before any transactions load. The [migration technical guide](https://clonepartner.com/blog/blog/syspro-to-sap-business-one-migration-technical-guide) covers these steps, and the [SYSPRO to SAP Business One migration](https://clonepartner.com/blog/migrate/syspro-to-sap-business-one) page shows how we run it.

## What does the total cost of ownership look like?

We do not quote prices for either system. SYSPRO publishes no subscription price. We could not confirm SAP Business One prices on SAP's own pricing page, so we do not repeat third-party estimates. Get written quotes from both, on the same user count and modules.

Compare these cost components side by side:

| Cost component | SYSPRO | SAP Business One |
|---|---|---|
| **Licences** | Named-user subscription only, from your expiry date. SYSPRO says the subscription gives "access to the full Syspro module entitlement, not just the modules in your current licence" ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)) | Quote from SAP or your partner |
| **Implementation** | Not needed if you stay | Quote from your SAP partner |
| **Infrastructure** | SQL Server you host, or Syspro Cloud ERP | SQL Server or SAP HANA. On-premise HANA needs certified hardware ([help.sap.com](https://help.sap.com/doc/8f1eda89c1674ba1af0270c60c299d1e/10.0_SP_2405/en-US/3c15112f563746838dbc88a178ebfd19.pdf)) |
| **Data migration** | Not needed if you stay | Separate engagement |

**Staying on SYSPRO.** To keep using SYSPRO after your expiry date, you need a new subscription agreement ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)). The deadlines are 31 October 2026 outside the US and 31 December 2026 in the US. The trade-offs are covered in [SYSPRO licence expires 2026: subscribe, stay or move](https://clonepartner.com/blog/blog/syspro-licence-expires-2026-subscribe-stay-or-move).

**Moving.** ClonePartner's data migration is one fixed price per project, starting at $500, with no hourly billing ([clonepartner.com](https://clonepartner.com/pricing)). The price scales with data volume, custom fields and the platforms involved.

## How do security and compliance compare?

SYSPRO states that it "is ISO/IEC 27001:2022 certified". It also states: "While we are not currently SOC 2 audited, our ISO 27001 certification aligns closely with the Trust Services Criteria used in SOC 2" ([trust.syspro.com](https://trust.syspro.com/information-security/)).

If your procurement team needs a SOC 2 Type II report from the ERP vendor, SYSPRO cannot provide one today. Ask SAP or your SAP partner for the current certificates and attestation reports that cover the specific SAP Business One deployment you would buy, cloud or on-premise. Do not assume a certificate held by SAP SE covers a partner-hosted install.

## How do integrations and ecosystems compare?

**SYSPRO integration surface:**
- e.net business objects for read and write integration, with a REST binding on the Communications Load Balancer ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/topics/syspro-services/syspro-8-enet-communications-load-balancer/syspro-8-enet-communications-load-balancer.htm))
- OData service for read-only access, limited to 5,000 rows per request ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/insights-and-reporting/syspro-odata/syspro-odata.htm))
- Business Activity Queries: SQL views that "any SQL user with db_datareader permissions" can read ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/2022-release/topics/syspro-8-business-activity-queries-reference-guide.pdf))

**SAP Business One integration surface:**
- Service Layer over HTTP and OData v3/v4, with create, read, update and delete ([help.sap.com](https://help.sap.com/doc/fc2f5477516c404c8bf9ad1315a17238/10.0/en-US/Working_with_SAP_Business_One_Service_Layer.pdf))
- DI API, a COM-based data interface API for add-ons, and UI API, a COM-based user interface API ([help.sap.com](https://help.sap.com/doc/8f1eda89c1674ba1af0270c60c299d1e/10.0_SP_2405/en-US/3c15112f563746838dbc88a178ebfd19.pdf))
- Integration Framework, "a set of business scenarios" for integration with third-party software and mobile devices ([help.sap.com](https://help.sap.com/doc/8f1eda89c1674ba1af0270c60c299d1e/10.0_SP_2405/en-US/3c15112f563746838dbc88a178ebfd19.pdf))
- A Microsoft Outlook integration add-on ([help.sap.com](https://help.sap.com/doc/8f1eda89c1674ba1af0270c60c299d1e/10.0_SP_2405/en-US/3c15112f563746838dbc88a178ebfd19.pdf))

The practical difference is writes. SAP Business One reads and writes through one OData interface. In SYSPRO, OData only reads, so a two-way sync combines OData or SQL for reads with e.net business objects for writes.

## Decision matrix: SYSPRO vs SAP Business One

Score each question for your business. A hard requirement that one system cannot meet decides the matter, whatever the totals say.

| Decision question | Points towards | Why |
|---|---|---|
| Do you model deep BOMs, long routings or co-products? | SYSPRO | 15-level BOMs, up to 999 operations, co-products on notional parts |
| Do you need one API for both reads and writes? | SAP Business One | Service Layer supports full CRUD. SYSPRO's OData is read-only |
| Is a trading partner often both customer and supplier? | SAP Business One | One Business Partner record with a `CardType` |
| Do you need in-memory reporting without a separate warehouse? | SAP Business One (HANA) | HANA runs in main memory, but on-premise needs certified hardware |
| Must the ERP vendor supply a SOC 2 report? | Ask SAP | SYSPRO states it is not currently SOC 2 audited |
| Do you already run SQL Server with in-house DBAs? | Either | SYSPRO runs on SQL Server. SAP Business One has a SQL Server version |
| Is your licence expiry date close? | Decide now | Both paths start with a full data export before your expiry date |

Neither system is better for everyone. The choice turns on how deep your manufacturing model goes and how much you integrate.

## Frequently asked questions

### Is SAP Business One better than SYSPRO for manufacturing?

It depends on how deep your manufacturing model goes. SYSPRO's Bill of Materials module supports up to 15 levels, routings and co-products, and its Work in Progress module manages jobs with material and operation allocations. SAP Business One has production BOMs and an MRP run that works down to the lowest level of a multi-level BOM. Compare both against your own routings and co-product needs before you decide.

### Does SAP Business One have an API for reading and writing data?

Yes. SAP's Service Layer is built on HTTP and OData, supports OData versions 3 and 4, and exposes business objects for create, read, update and delete operations. SYSPRO's OData service is read-only, so writes in SYSPRO go through e.net business objects.

### What happens if my SYSPRO licence expires before I decide?

SYSPRO's formal notice says that after your expiry date you will no longer be able to access SYSPRO unless you enter a new subscription agreement. The dates are 31 October 2026 outside the US and 31 December 2026 in the US. The notice also gives you the right to export your data, and asks you to raise the export with your account manager before your expiry date.

### How long does a data migration from SYSPRO to SAP Business One take?

The data migration itself (extract, transform, load and validate) typically completes within 1–5 business days, depending on data volume, complexity and API rate limits. Small datasets under 10,000 records can finish in under 24 hours. Implementing SAP Business One is a separate project run by your SAP partner, and it takes months.

### How much does it cost to migrate from SYSPRO to SAP Business One?

ClonePartner's data migration is a fixed price per project, starting at $500, and scales with data volume, custom fields and platform complexity. There is no hourly billing. Licences and implementation for SAP Business One are quoted separately by SAP or your partner.
