# SYSPRO vs Business Central: Architecture, TCO and Which to Choose

## How do SYSPRO and Business Central differ architecturally?

SYSPRO 8 stores data in Microsoft SQL Server, with each company's data in its own database plus one system-wide database for information that is not specific to any company ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). Business Central online is a Microsoft-run service on Azure SQL Database ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/administration/tenant-admin-center-backup-restore)), reached through the web client and APIs. These choices shape every downstream trade-off, from integration patterns to who runs the infrastructure.

**SYSPRO** describes itself as "the purpose-built digital solution for manufacturing and distribution" ([trust.syspro.com](https://trust.syspro.com/compliance-certifications/)). **Dynamics 365 Business Central** covers financial reporting, sales, purchasing and inventory at its core, and adds "premium functionality for manufacturing and service management" ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/ui-experiences)).

SYSPRO suits organizations whose decision turns on manufacturing depth and lot traceability. Business Central suits teams already in the Microsoft ecosystem that want a broader operational ERP run as a service.

The 2026 licensing change makes this decision urgent. SYSPRO is ending its Initial and Annual Licence Fee model. Legacy licences expire on **31 October 2026** outside the US and **31 December 2026** in the US ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)). From your expiry date, which means 1 November 2026 or 1 January 2027, you need a new subscription agreement to keep access. The [deadline explainer](https://clonepartner.com/blog/blog/syspro-licence-change-2026-deadlines-explained) covers the notice in detail, and [subscribe, stay or move](https://clonepartner.com/blog/blog/syspro-licence-expires-2026-subscribe-stay-or-move) covers the renewal decision. This post covers the choice between SYSPRO and Business Central.

### SYSPRO's data model

SYSPRO uses module-prefixed SQL tables with an 18-character name limit ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). Core entities include `ArCustomer` (customers), `InvMaster` (stock codes), `SorMaster`/`SorDetail` (sales orders), `PorMasterHdr`/`PorMasterDetail` (purchase orders), `BomOperations` (routing steps), `WipMaster` (work-in-progress jobs), and `GenMaster`/`GenTransaction` (GL accounts and transactions). Custom form data lives in "plus tables", such as `[ArCustomer+]` for the customer table ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)).

Data access options:

- **Direct SQL access** to the company database. It reaches every table, including plus tables.
- **Business Activity Queries**: SQL views that "any SQL user with db_datareader permissions" can read ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/2022-release/topics/syspro-8-business-activity-queries-reference-guide.pdf))
- **SYSPRO OData Service**: read-only, and the only mechanism available for application data access in Syspro Cloud ERP ([help.syspro.com](https://help.syspro.com/syspro-8-2025/topics/insights-and-reporting/syspro-odata/syspro-odata.htm))
- **e.net business objects** such as `ARSQRY` and `INVQRY`. They return XML and suit integration, not bulk extraction.
- **REST binding** via the e.net Communications Load Balancer ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/topics/syspro-services/syspro-8-enet-communications-load-balancer/syspro-8-enet-communications-load-balancer.htm))

> [!WARNING]
> SYSPRO Harmony is a collaborative social platform, not an API or REST wrapper ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/harmony/harmony-ovr.htm)). It is designed for chat and user interaction. Do not confuse it with an integration endpoint.

### Business Central's data model

Business Central structures finance around **posting groups** and **dimensions**. Posting groups "map entities to general ledger accounts", for example customers, vendors and items ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/finance-posting-groups)). Dimensions categorize entries by department or project, so "instead of setting up separate general ledger accounts for each department and project, you can use dimensions" ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/finance-dimensions)).

Extensibility is handled through **AL extensions**. "The extension model is object-based; you create new objects, and extend existing objects" ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/developer/devenv-dev-overview)). A table extension adds fields to a standard table, such as an extra field on the customer table ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/developer/devenv-table-ext-object)). This is where SYSPRO plus-table fields would live if you choose Business Central.

Business Central's OData v4 API has per-user limits. Microsoft lists 5 concurrent requests, 100 connections, and 6,000 requests within a 5-minute sliding window. Requests over the limit get HTTP 429 ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/administration/operational-limits-online)). Factor these limits into any high-volume integration you plan to run against Business Central.

### What does the architecture gap mean for operations?

SYSPRO on-premises runs on SQL Server that your team owns. You size it, patch it and choose when to upgrade.

Business Central online follows Microsoft's update schedule. "There are two major update cycles each year, starting in April and October, with minor updates in other months" ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/administration/tenant-admin-center-update-management)). You do not run upgrade projects, but partner-built AL extensions must be tested against each major update. Budget partner time for that.

Business Central's manufacturing sits in the Premium experience only ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/ui-experiences)). Manufacturers in food and beverage, chemicals or electronics, where traceability rules drive system requirements, should test their own scenarios in Premium before committing.

---

## How do operational workflows compare?

SYSPRO's documented strengths sit in manufacturing and traceability. Business Central's documented strengths sit in service management, projects, workflow and Microsoft 365. The table lists only what each vendor's own documentation confirms.

| Capability | SYSPRO | Business Central | Edge |
|---|---|---|---|
| **Manufacturing** | BOM operations (`BomOperations`), work centres (`BomWorkCentre`) and WIP jobs (`WipMaster`) in the core schema | Manufacturing in the Premium experience ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/ui-experiences)) | **SYSPRO**, for manufacturing-first businesses |
| **Lot traceability and serial tracking** | Lot Traceability provides "full traceability at transactional level" ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/distribution/lots/lots-ovr.htm)). Serial Tracking captures serial numbers for stock items ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/distribution/serials/serials-ovr.htm)) | Serial, lot and package numbers on inbound and outbound documents ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/inventory-how-work-item-tracking)) | Test both against your traceability rules |
| **Service management** | Check SYSPRO's module list for your needs | Service management in the Premium experience ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/ui-experiences)) | **Business Central** |
| **Project tracking** | Check SYSPRO's module list for your needs | Projects, budgets, resource scheduling and time sheets ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/projects-manage-projects)) | **Business Central** |
| **Workflow automation** | e.net business objects for custom integration | Built-in approval workflow templates plus a Power Automate licence ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/across-how-use-financials-data-source-flow)) | **Business Central** |
| **Collaboration** | SYSPRO Harmony, a social chat platform ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/harmony/harmony-ovr.htm)) | A Microsoft Teams app connected to Business Central data ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/across-teams-overview)) | **Business Central** |
| **Reporting and BI** | Business Activity Queries, Report Writer export to spreadsheets ([help.syspro.com](https://help.syspro.com/syspro-7-update-1/_repovr.htm)) | Power BI dashboards and reports on Business Central data ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/admin-powerbi)) | **Business Central** |
| **Customization** | Custom forms (plus tables) and e.net business objects | AL extensions and table extensions, tested against each major update | Depends on your partner and needs |

SYSPRO's case rests on the shop floor and on traceability. For service management, project accounting and Microsoft 365 collaboration, Business Central covers more ground out of the box.

## What does choosing Business Central mean for your SYSPRO data?

Choosing Business Central means a structural data translation, not a copy. SYSPRO's module-prefixed SQL schema has to be mapped onto Business Central's posting groups, dimensions and AL table extensions. Microsoft's cloud migration tools cover Business Central on-premises, Dynamics NAV, GP and SL. Any other SQL source, SYSPRO included, uses Microsoft's custom migration path ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/administration/migrate-data)).

Three areas decide most of the effort, and you should weigh them while you choose:

- **Chart of accounts.** Business Central uses posting groups and dimensions, so your GL design gets reworked before any data moves.
- **Custom fields.** Each plus-table field either gets an AL table extension in Business Central or is left behind. See [migrating SYSPRO plus tables](https://clonepartner.com/blog/blog/syspro-custom-form-fields-migrating-plus-tables).
- **Traceability history.** Decide how much lot and serial history to load and how much to archive.

The extraction steps, posting group design, delta sync and cutover plan are in the [SYSPRO to Dynamics 365 Business Central migration guide](https://clonepartner.com/blog/blog/syspro-to-dynamics-365-business-central-migration-guide). For the service itself, see [SYSPRO to Business Central migration](https://clonepartner.com/blog/migrate/syspro-to-microsoft-dynamics-365-business-central).

> [!NOTE]
> **Two clocks to keep separate.** The data migration, which extracts from SYSPRO and loads into Business Central, is measured in days. Most migrations complete within 1 to 5 business days, depending on data volume, complexity and API rate limits. The ERP implementation project, which selects, configures and rolls out Business Central with a Microsoft partner, is a separate effort measured in months. ClonePartner performs the data migration. We do not implement ERPs.

## What is the true total cost of ownership?

Neither vendor's price is quoted here. SYSPRO publishes no subscription price, so any SYSPRO figure you see online is a third-party guess. Ask SYSPRO or your partner for a written quote.

### Licensing models

| | SYSPRO | Business Central |
|---|---|---|
| **Pricing model** | Named-user subscription only, after the 2026 change ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)) | Per-user licences: Essentials, Premium, Team Member and External Accountant ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/deployment/licensing)) |
| **Where you buy** | SYSPRO or a SYSPRO partner | Only through Microsoft's Cloud Solution Provider (CSP) program ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/deployment/licensing)) |
| **Module scope** | The subscription gives "access to the full Syspro module entitlement" ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)) | Manufacturing and service management need the Premium experience ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/ui-experiences)) |

### Cost lines to budget for

- **Implementation partner fees.** Both platforms are usually implemented by a partner. Get written quotes for your scope.
- **AL extension maintenance (Business Central).** Two major updates a year mean partner-built extensions need testing each cycle. On-premises SYSPRO lets you choose your upgrade timing instead.
- **Add-ons.** Business Central extensions from the marketplace are priced by their publishers. Ask SYSPRO partners to quote any third-party SYSPRO add-ons.
- **Data migration.** This is a separate line from implementation. ClonePartner charges one fixed price per project, starting at $500 ([clonepartner.com](https://clonepartner.com/pricing)). The price scales with data volume, custom fields, attachment size and platforms involved. No hourly billing and no per-record metering.
- **Infrastructure (SYSPRO on-premises).** You carry SQL Server licensing, Windows Server maintenance, hardware refreshes and upgrade projects. Microsoft runs the infrastructure for Business Central online.
- **API limits (Business Central).** The per-user OData limits above affect high-volume integrations, so plan integration design with them in mind.

---

## How do security and compliance compare?

Both platforms hold ISO/IEC 27001 certification. Neither page below proves fitness for your regulator, so ask each vendor for its audit documents.

| Standard | SYSPRO | Business Central |
|---|---|---|
| **ISO/IEC 27001** | ISO 27001:2022 certified ([trust.syspro.com](https://trust.syspro.com/compliance-certifications/)) | Certified ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/compliance/compliance-certifications)) |
| **SOC 2** | "we are not currently SOC 2 audited" ([trust.syspro.com](https://trust.syspro.com/information-security/)) | Microsoft lists its full certifications in the Dynamics 365 Cloud Service Compliance Datasheet ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/compliance/compliance-certifications)) |
| **CSA STAR** | Level 1 listed ([trust.syspro.com](https://trust.syspro.com/compliance-certifications/)) | See the compliance datasheet |
| **Local accounting certifications** | Check with SYSPRO | Certified in Denmark, France, Germany, India and Spain ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/compliance/compliance-certifications)) |

SYSPRO says its "ISO 27001 certification aligns closely with the Trust Services Criteria used in SOC 2" ([trust.syspro.com](https://trust.syspro.com/information-security/)). If your customers or auditors require a SOC 2 report from your ERP vendor, ask Microsoft for its documents and confirm the scope covers Business Central.

On-premises SYSPRO puts the infrastructure security burden on your team. If your SQL Server is exposed or your Windows Server is unpatched, the ERP is vulnerable, whatever SYSPRO's application security provides. Food and beverage, pharmaceutical and chemical manufacturers subject to FDA 21 CFR Part 11, FSMA or similar rules should check either platform against their validation and audit trail requirements before committing.

Security during the move matters as much as the destination. ClonePartner holds SOC 2 Type II and ISO 27001, and purges staging data within 30 days of project close.

## How do integrations and ecosystem compare?

Business Central sits inside the Microsoft stack. It has a Teams app ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/across-teams-overview)), Power BI reporting ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/admin-powerbi)) and a Power Automate connector ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/across-how-use-financials-data-source-flow)). SYSPRO has no equivalent tie-in to Microsoft 365.

**API developer experience:**

- **SYSPRO:** e.net business objects, which exchange XML and run over several bindings, including a REST binding on the e.net Communications Load Balancer ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/topics/syspro-services/syspro-8-enet-communications-load-balancer/syspro-8-enet-communications-load-balancer.htm)). The read-only OData Service is simpler for read scenarios.
- **Business Central:** REST APIs for Connect apps, with Microsoft Entra ID / OAuth authentication in production ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/developer/devenv-develop-connect-apps)). Webhooks are capped at 200 subscriptions ([learn.microsoft.com](https://learn.microsoft.com/en-us/dynamics365/business-central/dev-itpro/administration/operational-limits-online)).

For teams building custom integrations, Business Central is JSON and REST first. SYSPRO's e.net layer is powerful but XML-based.

**A trade-off to note:** if you plan to replace SYSPRO's lot traceability or manufacturing depth with Business Central marketplace extensions, validate each extension against your real scenarios. An extension can integrate cleanly and still fall short of what your shop floor needs. The [SYSPRO alternatives guide](https://clonepartner.com/blog/blog/top-syspro-alternatives-2026-tco-features-migration-paths) compares other targets if Business Central falls short.
