# SYSPRO vs Acumatica: Architecture, Pricing Models and Which to Choose

**SYSPRO** is a manufacturing and distribution ERP that stores its data in Microsoft SQL Server, with one database per company. **Acumatica** is a cloud ERP that houses each SaaS subscription in a single database and prices by applications and transaction volume rather than by user. If you are deciding which of the two to run after SYSPRO's 2026 licence change, this guide compares architecture, pricing models, APIs, security and fit.

**One-line verdict:** Stay on SYSPRO if your operation is manufacturing-led, your processes are already built around it, and a named-user subscription works for your headcount. Choose Acumatica if you want pricing that does not depend on user count, a cloud deployment you can move between SaaS and private cloud, and named applications for warehouse, project, field service or construction work.

The timing matters. SYSPRO is ending its Initial and Annual Licence Fee model. Existing licences expire on **31 October 2026** for customers outside the US and on **31 December 2026** for customers in the US ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)). After that date, SYSPRO's notice says "you will no longer be able to access Syspro" unless you enter a new subscription agreement. An Initial License Fee "does not carry forward as a perpetual right to access the software after your expiry date." Raise the data export with SYSPRO before your expiry date, or now if it has passed. Whichever ERP you choose, plan your data export before your expiry date. For the subscribe-or-move decision itself, see [SYSPRO Licence Expires 2026: Subscribe, Stay or Move](https://clonepartner.com/blog/blog/syspro-licence-expires-2026-subscribe-stay-or-move).

## How do SYSPRO and Acumatica differ architecturally?

SYSPRO keeps each company's data in its own SQL Server database, plus one system-wide database for data that is not specific to a company ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). Acumatica houses each SaaS subscription in a single database, where you can "track financials separately for an unlimited number of related companies" ([acumatica.com](https://www.acumatica.com/faq/)). That difference shapes how you report across entities and how you get data out.

### SYSPRO: SQL Server with module-prefixed tables

SYSPRO says "Syspro 8 2025 will only run on Microsoft SQL Server 2019 and subsequent versions" ([help.syspro.com](https://help.syspro.com/syspro-8-2025/i-installation/sys-8-supported-platforms/sys-8-supported-platforms.htm)). Table names are capped at 18 characters and follow a module-prefix convention: `ArCustomer` for customers, `ApSupplier` for suppliers, `InvMaster` for stock codes and `InvWarehouse` for stock per warehouse ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). Sales orders sit in `SorMaster` and `SorDetail`, purchase orders in `PorMasterHdr` and `PorMasterDetail`, routing steps in `BomOperations` and jobs in `WipMaster` ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/i-installation/sys-8-sql-updates-by-release/sys-8-sql-updates-by-release.htm)). General ledger accounts sit in `GenMaster` ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/2022-release/topics/syspro-8-business-activity-queries-reference-guide.pdf)).

Custom form fields live in companion "plus" tables. SYSPRO's database guide says custom form data for `ArCustomer` "is stored in a table named 'ArCustomer+'" ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)). If you have years of custom fields, count them before you choose. Every one needs a home in the next system.

SYSPRO also runs as Syspro Cloud ERP, where SYSPRO's OData Service "is the only mechanism available when applications need access to SYSPRO data" ([help.syspro.com](https://help.syspro.com/syspro-8-2025/topics/insights-and-reporting/syspro-odata/syspro-odata.htm)).

### Acumatica: one database, accessed through APIs

Acumatica SaaS uses Microsoft SQL Server. It does not allow ODBC connections. Acumatica says you "achieve the same integration goal using Acumatica's development platform APIs", and it ships a DAC (data access class) Schema Browser inside the product from 2021 R2 ([acumatica.com](https://www.acumatica.com/faq/)). Acumatica says it "is architected to ensure customizations remain functional despite database changes" ([acumatica.com](https://www.acumatica.com/faq/)).

Acumatica offers SaaS hosted on AWS ([acumatica.com](https://www.acumatica.com/faq/)) and a private cloud deployment. You can switch between them: "If you start with a SaaS deployment and sometime later want to move to private cloud, you certainly can—and vice versa" ([acumatica.com](https://www.acumatica.com/blog/acumatica-difference-flexible-deployment/)).

### API surfaces compared

| Dimension | SYSPRO | Acumatica |
|---|---|---|
| **Primary API** | e.net business objects, hosted on several bindings including a REST binding ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/topics/syspro-services/syspro-8-enet-communications-load-balancer/syspro-8-enet-communications-load-balancer.htm)) | Contract-based REST API, accessed through configured endpoints ([help.acumatica.com](https://help.acumatica.com/Wiki/ShowWiki.aspx?pageid=1a9d6f7e-8546-426b-b1ff-d712fbcfbc7b)) |
| **Direct database access** | Possible on-premise, but SYSPRO says "Connecting to the SYSPRO databases directly using SQL drivers is not advised" ([help.syspro.com](https://help.syspro.com/syspro-8-2023/resources/pdfs/2023-release/technical/syspro-8-best-practices-for-connecting-to-syspro.pdf)) | No ODBC access on SaaS ([acumatica.com](https://www.acumatica.com/faq/)) |
| **Read-only data service** | OData Service, limited to 5,000 rows, paged with `$top` and `$skip` ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/insights-and-reporting/syspro-odata/syspro-odata.htm)) | Each licence sets limits on API sessions, concurrent requests and requests per minute ([help.acumatica.com](https://help.acumatica.com/Wiki/ShowWiki.aspx?pageid=7a796856-3dec-4a4f-abf8-171324c9642b)) |
| **API description** | Business objects are named by a six-character code, such as `ARSQRY` ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/business-objects/business-objects-ovr.htm)) | OpenAPI 3.0 `swagger.json` per endpoint ([help.acumatica.com](https://help.acumatica.com/Wiki/ShowWiki.aspx?pageid=2c620452-c947-4bd6-a9eb-2a8fc04226be)) |

Acumatica's API limits come with the licence. You can see them on the License Monitoring Console (SM604000) ([help.acumatica.com](https://help.acumatica.com/Wiki/ShowWiki.aspx?pageid=7a796856-3dec-4a4f-abf8-171324c9642b)). If you plan heavy integrations, ask your Acumatica partner which limits your proposed licence carries.

SYSPRO's query business objects, such as `ARSQRY`, `INVQRY` and `SORQRY`, return XML for one record or a filtered set. They suit integration, not bulk extraction.

> [!WARNING]
> **Do not confuse SYSPRO Harmony with an API.** SYSPRO describes Harmony as "a collaborative, user-friendly social platform at the core of ERP" that works "via a chat method" ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/harmony/harmony-ovr.htm)). It is not an integration layer.

## How do operational capabilities compare?

Both products cover manufacturing. Acumatica also sells named applications for other kinds of work. The table lists only what each vendor documents.

| Capability | SYSPRO | Acumatica |
|---|---|---|
| **Manufacturing** | Bills of materials with routing operations (`BomOperations`), work centres (`BomWorkCentre`) and WIP jobs (`WipMaster`) ([help.syspro.com](https://help.syspro.com/syspro-8-2026-r1/i-installation/sys-8-sql-updates-by-release/sys-8-sql-updates-by-release.htm)) | Manufacturing Management with bills of materials, MRP and a Shop Floor Kiosk ([acumatica.com](https://www.acumatica.com/cloud-erp-software/manufacturing-management/)) |
| **Lot and serial tracking** | Lot traceability "at transactional level" ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/distribution/lots/lots-ovr.htm)) and serial tracking for stock items ([help.syspro.com](https://help.syspro.com/syspro-8-2021-r2/topics/distribution/serials/serials-ovr.htm)) | Operators "capture lot and serial attributes" on the Shop Floor Kiosk ([acumatica.com](https://www.acumatica.com/cloud-erp-software/manufacturing-management/)) |
| **Multi-company** | One database per company ([help.syspro.com](https://help.syspro.com/syspro-8-2024/resources/pdfs/syspro-8-database-architecture-technical-guide.pdf)) | One database for an unlimited number of related companies ([acumatica.com](https://www.acumatica.com/faq/)) |

Acumatica also documents these applications:

- A native Warehouse Management System with barcode scanning for receiving, putaway, picking, packing and shipping ([acumatica.com](https://www.acumatica.com/cloud-erp-software/warehouse-management-system/)).
- Project Accounting ([acumatica.com](https://www.acumatica.com/cloud-erp-software/project-accounting/)).
- Field Service Management ([acumatica.com](https://www.acumatica.com/cloud-erp-software/field-service-management/)).
- Construction Management ([acumatica.com](https://www.acumatica.com/cloud-erp-software/construction-management/)).

If you need any of these, ask SYSPRO or your SYSPRO partner what covers the same ground in your licence. Under the new subscription, SYSPRO says "you get access to the full Syspro module entitlement, not just the modules in your current licence" ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)).

If your whole operation runs on the shop floor and your SYSPRO processes work, the case for moving rests on price and platform, not on features. If you also run projects, field service, construction or a warehouse that needs scanning, Acumatica documents a named application for each.

## How do the pricing models differ?

The two pricing models are built differently. Neither vendor publishes a list price, so this guide gives no cost figures. Any total cost of ownership (TCO) comparison needs written quotes from both vendors for the same scope.

**SYSPRO** is moving every customer to a **named-user subscription**. SYSPRO's notice states no price. It says the subscription gives "access to the full Syspro module entitlement, not just the modules in your current licence" ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)). Your cost therefore scales with the number of named users.

**Acumatica** says it "does not charge by user". Its SaaS subscription fee is "based on the edition (Standard, Advanced and Enterprise), functional modules (financials, inventory, CRM,), and SaaS Consumption ( primarily commercial transaction volume)" ([acumatica.com](https://www.acumatica.com/faq/)). The transactions it counts are sales orders, AR invoices, shipments, payments, purchase orders, purchase receipts, AP bills and vendor payments. You can upgrade your resource level at any time and downgrade it at renewal ([acumatica.com](https://www.acumatica.com/faq/)). Acumatica's pricing page lists three factors: the applications you need, your usage and resource requirements, and your deployment choice ([acumatica.com](https://www.acumatica.com/pricing/)).

| Cost component | SYSPRO | Acumatica |
|---|---|---|
| **What you pay for** | Named users on a subscription ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)) | Edition, modules and transaction volume. Not users ([acumatica.com](https://www.acumatica.com/faq/)) |
| **Modules** | Full module entitlement under the subscription ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)) | Priced by the applications you implement ([acumatica.com](https://www.acumatica.com/pricing/)) |
| **Published price** | None in the notice ([syspro.com](https://www.syspro.com/formal-notice-change-to-syspro-licensing/)) | None. Pricing is "tailored" per customer ([acumatica.com](https://www.acumatica.com/pricing/)) |

**Occasional users.** The models diverge most when many people need light access, such as warehouse staff, seasonal workers or managers who only read reports. Under a named-user subscription, each of those people needs a named user. Acumatica says it "allows unlimited users at no additional cost" ([acumatica.com](https://www.acumatica.com/faq/)). If your user count is high and your transaction volume is modest, ask both vendors to quote that exact profile.

Implementation is a separate cost on both sides. Ask your implementation partner for a fixed scope and quote.

## What does moving from SYSPRO to Acumatica involve?

This guide is about choosing. The mechanics of the move have their own guide: [SYSPRO to Acumatica Migration: A Technical Guide](https://clonepartner.com/blog/blog/syspro-to-acumatica-migration-technical-guide). In short, two things decide how hard the move is.

First, getting data out of SYSPRO. On-premise, the most complete route is a one-off, read-only SQL extract from the company database, ideally against a restored copy. SYSPRO advises against direct SQL connections for live integrations ([help.syspro.com](https://help.syspro.com/syspro-8-2023/resources/pdfs/2023-release/technical/syspro-8-best-practices-for-connecting-to-syspro.pdf)). On Syspro Cloud ERP, the read-only OData Service is the only route. See [e.net business objects or direct SQL](https://clonepartner.com/blog/blog/syspro-enet-business-objects-or-direct-sql-extraction).

Second, the two clocks. The data migration takes days, typically 1–5 business days depending on data volume, complexity and API limits. The Acumatica implementation takes months, and your implementation partner runs it. Go-live is on a Monday. The bulk load runs in the days before while SYSPRO stays live, and a final delta of changed records takes about 30 minutes. ClonePartner handles the data side of this path: see [SYSPRO to Acumatica migration](https://clonepartner.com/blog/migrate/syspro-to-acumatica).

If you will not move every year of history, plan where the rest lives. See [how to archive SYSPRO history before switching ERP](https://clonepartner.com/blog/blog/how-to-archive-syspro-history-before-switching-erp).

## How do SYSPRO and Acumatica compare on security and compliance?

The key difference is SOC attestation. Acumatica has SOC 1 and SOC 2 reports. SYSPRO is not SOC 2 audited.

- **SYSPRO** is ISO/IEC 27001:2022 certified and says it is "not currently SOC 2 audited" ([trust.syspro.com](https://trust.syspro.com/information-security/)). It also lists CSA STAR Level 1 ([trust.syspro.com](https://trust.syspro.com/compliance-certifications/)).
- **Acumatica** first completed SOC 1 and SOC 2 audits in October 2016, and auditors review them each year ([acumatica.com](https://www.acumatica.com/faq/)). Its security page lists SSO, two-factor authentication, IP address filtering, role-based permissions, and encryption for data at rest and in transit ([acumatica.com](https://www.acumatica.com/cloud-erp-software/security/)).

SYSPRO's trust site says its ISO 27001 certification "aligns closely with the Trust Services Criteria used in SOC 2" ([trust.syspro.com](https://trust.syspro.com/information-security/)). If your vendor due diligence requires a SOC 2 report, Acumatica's security page offers its SOC 1 and SOC 2 reports, subject to "NDA and approval" ([acumatica.com](https://www.acumatica.com/cloud-erp-software/security/)).

For on-premise SYSPRO, the infrastructure side of security is yours. You own SQL Server hardening, network segmentation, patching and backups.

## How do the integration ecosystems compare?

Acumatica says its Marketplace is "home to over 500 partners" ([acumatica.com](https://www.acumatica.com/blog/acumatica-summit-2026-moving-erp-from-potential-to-impact/)). Its security page says it uses OAuth 2.0 for API access and provides rate limiting ([acumatica.com](https://www.acumatica.com/cloud-erp-software/security/)).

SYSPRO's integration surface is the e.net business objects over several bindings, including REST, plus the read-only OData Service ([help.syspro.com](https://help.syspro.com/syspro-8-2024/topics/syspro-services/syspro-odata-service/syspro-odata-service.htm)). Before you decide, list every integration you run today. For each one, check whether a connector exists for the target ERP or whether it must be rebuilt.

## Choose SYSPRO if… / Choose Acumatica if…

**Choose SYSPRO if:**
- Your operation is manufacturing or distribution, and SYSPRO's lot traceability, serial tracking, BOMs and jobs already fit how you work.
- You have custom processes built on SYSPRO plus tables and e.net integrations, and rebuilding them would cost more than staying.
- Your team knows SQL Server and SYSPRO well and you are happy to keep that architecture.
- A named-user subscription works for your headcount, and the full module entitlement covers what you need.

**Choose Acumatica if:**
- You have many occasional users and want pricing that does not depend on user count.
- You want SaaS with the option to move to private cloud later, or the reverse.
- You need warehouse management, project accounting, field service or construction on the same platform.
- A SOC 2 report is a procurement or compliance requirement.
- You want a contract-based REST API with an OpenAPI 3.0 description and OAuth 2.0.

If you are leaving SYSPRO, start the data export conversation with SYSPRO now, before your expiry date. Run your SYSPRO exit checklist in parallel with your ERP selection.

## Frequently asked questions

### How long does a SYSPRO to Acumatica data migration take?

The data migration itself typically completes within 1–5 business days, depending on data volume, complexity and Acumatica's API limits. Datasets under 10,000 records can finish in under 24 hours. This is separate from the Acumatica implementation project, which takes months and is run by an Acumatica implementation partner.

### Does Acumatica charge per user?

No. Acumatica says it "does not charge by user". Its SaaS subscription fee is based on the edition, the functional modules and SaaS consumption, which is primarily commercial transaction volume.

### Is SYSPRO ending perpetual licences in 2026?

SYSPRO is ending its Initial and Annual Licence Fee model. Existing licences expire on 31 October 2026 outside the US and 31 December 2026 in the US. To keep using SYSPRO after that, you need a new named-user subscription agreement.

### Does the SYSPRO license subscription cost more than Acumatica?

There is no way to say from public information. SYSPRO publishes no subscription price, and Acumatica prices each customer individually. Get a written quote from both, for the same scope, before you compare.

### Can I export my data from SYSPRO after my licence expires?

SYSPRO's formal notice says you have the right to export your data on cessation of your licence, and that SYSPRO will provide a process on request. Raise the export request with your account manager before your expiry date. The notice does not describe the export format or how long the process stays available.
